POSITION SUMMARY
A Project Design Notice Coordinator typically plays a crucial role in managing design changes and ensuring that all project stakeholders are informed about and adhere to design updates along exhibiting general administration needs for the project team and full supports to Project Manager.
PRINCIPAL ACCOUNTABILITIES
The DN & Project Coordinator is expected to:
Assist in managing design notices and coordinating design changes with all relevant parties to ensure seamless integration into the project plan. Coordinate the issuance, distribution, and tracking of design notices, change orders, and other project documentation. Serve as the primary point of contact between the design team, project management, and other stakeholders. Maintain a centralized system for managing all design-related documentation (in Share Point). Ensure that design notices are properly documented, logged, and stored for future reference. Track and document all revisions to design documents and ensure that they are communicated to the relevant teams. Maintain Project Organization Charts and contact list. Project administrative responsibilities. Maintaining project staffing plan and update the status Travel management for the project: arrange, co-ordinate and manage travel requirements including flights, accommodation, transfers, in accordance with corporate travel guidelines and within project budget. Arrange, coordinate, and manage all travel requirements, including flights, accommodation, and transfers, following corporate travel guidelines and within the project budget. Create Letters of Invitation as required for internal and external customers. Project coordination meetings with various external stakeholders, third parties meeting agendas and minutes handling. Project Close out preparations based on the Company requirements. Project specific deliverables preparation/Coordination during Project definition, execution phase (such as material arrangements, gate pass arrangements etc) Overall support for maintenance of organizational culture and project communication on behalf of Project director as entrusted with Project team. Coordinate with the Company’s corresponding teams to arrange gate passes, Fit to work, Safety orientations etc. Ready to support document management team. Critical Competencies
Fair project management, communication, organizational and planning skills
Good competency in Microsoft office tools (specially word and excel) and Share Point
Ability to communicate effectively and work with internal and external customers
Team player and ability to coordinate for various project needs and support the project team
Design Notices Coordinator need attention to detail, strong communication skills, and a solid understanding of design processes and project management principles are essential.
Preferred Qualifications:
Education in technical or business field
Bachelor’s Degree, in Business Management, computer science or equivalent job experience
7-10 years
