DISCOVER your opportunity What will your essential responsibilities include?
Be a trusted advisor within the Program on PMO Governance, Standards and Processes
Apply your portfolio and project governance expertise to:
Ramp up Program using knowledge of previous Programs to ensure our standards and controls are followed, as well as facilitating an efficient & coherent initiation
Ensure project and portfolio leadership and the Program has the information needed to make informed decisions and execute agreed upon outcomes
Work with leaders to ensure projects are accurately reflected in our project portfolio management tool with the relevant approvals and documentation - ensure project budgets and timescales are baselined inline with approvals
Work with our risk team and also governance groups to ensure that reporting is completed as needed
Provide execution support to the Program and the Project Managers
Assist Project Managers with questions regarding our PPM tool and our standards and controls, ensuring that they complete their status reports in a timely manner and complete stage gates at the right time
Proactively identify issues, monitor trends, and make recommendations by leveraging data, project documents and collaborative relationships to ensure the portfolio is following governance and reporting standards. Faciliate Risk/Issues, Actions and Dependencies Management via central RAID logs and the PPM tool
Use your Project Financial expertise to track and monitor financials in our PPM tool, assist with resource management including set up of new starters and create/monitor Purchase Orders
Set up document storage and teams site for the Program
Schedule and own the content for Governance meetings such as Steering Committees, drum beat meetings and other ad-hoc meetings
Contribute to a culture of end-to-end continuous improvement:
Facilitate review of internal customer feedback, external best practices, trend analysis and recommendation of proposed process changes, working collaboratively with the Hub PMO to ensure consistency across the AXA XL Change Portfolio
Collaborate with other functions, including technology, data, financial, procurement, risk and control partners to ensure end to end processes are fit for purpose, reasonable, functioning and followed
You will report to a PMO Manager in another AXA XL location. At times you may be asked to adjust your hours to support/collaborate across global time zones
SHARE your talent SHARE your talent We’re looking for someone who has these abilities and skills:
University degree or higher
Fluency in English is a must (at least C1 level)
Proven experience working in a PMO or Project Management environment
Proven experience with project/portfolio management tools
Excellent written and verbal communication skills, people skills with an ability to collaborate and work independently at home, in the local office or another AXA XL office
Proven detailed orientation, coordination, organization and facilitation skills, with a proclivity toward consistency and simplicity
Inquisitive mind and courage to challenge the status quo
Experienced at documenting procedures and training followed by video delivery to colleagues/internal customers
Skilled with Microsoft Office Package, including advanced Power Point and Excel skills
