Krakow-based opportunity with the possibility to work 80% remotely! As an Executive Assistant, you will be working for our client, a leading global financial services institution with a vast international presence. Your role will be supporting senior executives, ensuring the smooth operation of their day-to-day activities. You will manage schedules, coordinate meetings, and handle key administrative tasks with a high level of professionalism. Your ability to anticipate needs, maintain confidentiality, and manage multiple responsibilities will be crucial to ensuring the success of business operations.
Your main responsibilities:
Organizing executive schedules, maintaining diaries, and arranging travel and accommodation
Coordinating meetings, events, and managing internal and external stakeholders
Preparing presentations, reports, and assisting with key business documents
Deputizing in meetings, making decisions, and managing business area tasks
Managing relationships with external service providers and stakeholders
Acting as the primary point of contact for the executive’s area, ensuring confidentiality
Supporting project management and overseeing small-scale business initiatives
Composing communications and handling inquiries on behalf of executives
Ensuring compliance with internal policies and maintaining confidentiality on sensitive matters
Assisting with the overall administrative efficiency of the executive’s office
You’re ideal for this role if you have:
At least 5 years of experience in an executive administrative role
Advanced proficiency in MS Office, diary management, and travel booking
Strong written and oral communication skills
Ability to anticipate needs and work independently with minimal supervision
Excellent organizational and multitasking abilities
A university degree or equivalent education
Experience in handling confidential information with discretion
Professionalism in managing relationships at all levels within an organization
High-level customer service and problem-solving skills
Experience in working with various computer applications
It is a strong plus if you have:
Experience working in the financial services industry
Familiarity with managing service providers and external partnerships
