We have an exciting opportunity for a Team Assistant to join Thomson Reuters in Gdansk, supporting our Executive Teams in Switzerland.
In this role you will be performing a wide range of administrative duties to support multiple senior leaders and their department members.
ABOUT THE ROLE
As Team Assistant your key responsibilities will include:
Organization & Planning

Maintain the leaders' calendar, prioritize action items, and arrange video/telepresence and teleconferences.

Ensure leaders are consistently updated on any meetings and events they need to attend.

Organize the flow of work, prioritize tasks and activities, and ensure that administrative functions are carried out efficiently and effectively.

Coordinate and maintain clear communications between the leaders and other internal departments.

Regularly meet with leaders to review the status of projects, plan upcoming meetings, and coordinate travel arrangements.

Organize meeting logistics, including technology requirements, to ensure smooth execution.

Perform other administrative and ad-hoc tasks, such as organizing guest offices, preparing guest badges, coordinating catering, and arranging local ground transportation for visitors.
Travel & Expenses

Prepare detailed domestic and international travel itineraries and make travel arrangements, including visa processing.

Prepare and process expense reports and manage outside service costs, ensuring compliance with company policies.
Others

Communicate effectively with all levels within the organization to ensure smooth operations.

Establish and maintain strong business relationships with other administrative professionals to find swift solutions to various challenges.

Provide vacation coverage for other assistants, ensuring continuity of administrative support.
