This role requires strong organizational skills, clear communication, and a proactive approach to resolving any payment-related queries. The ideal candidate will have experience in customer service, school administration or finance, and be comfortable managing sensitive financial communications with tact and professionalism. Experience with data analysis preferred. About Akademeia: Akademeia High School is an academically-selective school in Warsaw, offering IGCSEs and A Levels alongside Akademeia Assessed Courses. Together with Akademeia High School Foundation, the school also supports several educational outreach and community engagement initiatives. Key Responsibilities:
Monitor contracts with parents and update as agreed
Upload new contracts to the information management system
Maintain a complete and accurate record of parent, student, and contract information in the school management system
Manage and send out timely reminders about tuition fees, payment deadlines, and other school-related payments such as trips and extracurricular activities
Serve as the main contact for parents' inquiries regarding billing, payment methods, and financial assistance
Collaborate with the school’s finance department to ensure accurate invoicing and smooth payment processes
Collaborate with the school’s Admissions and Office Departments
Proactively follow up with parents regarding outstanding payments
Communicate changes in school payment policies or procedures to parents in a clear and concise manner
Support parents in navigating the school’s payment platforms or portals
Ensure that all communication is in line with school policies
Assist teachers in school expenses settlements
Experience:
Bachelor’s degree in Communications, Finance, Business Administration, or related field (preferred but not required)
Prior experience in customer service, school administration, or finance is highly desirable
Excellent written and verbal communication skills
Strong organizational and multitasking abilities
High attention to detail, especially when managing sensitive financial information
Ability to problem solve
Proficiency with payment platforms, billing systems, and general office software (e.g., Excel, Word, email)
Fluency in written and verbal English and Polish
