Job description I. EMPLOYEES AND LABOR RELATIONS 1. Assists HR Officer in attending to all administrative cases reported formally by Superior/Supervisors and employees including contractual and temporary employees (please refer to Employees’ Code of Discipline) a. Conducts investigation on reported incident b. Validate Reports Received c. Prepares results/findings of Investigation d. Arrange a conference/meeting with concerned parties (if needed) with HR Officer e. Prepares recommendations based on findings and Show Cause Memo (Notice to Explain) to employee for approval of HR OFFICER f. Prepare Notice of Corrective Action to concerned employee as directed by HR Manager, for presentation to Chief Operating Officer and concerned Department Head for finality and implementation of sanctions. 2. Assists HR Officer in handling and administering counseling and coaching to employees if needed. 3. Facilitates conduct of resigning employees exit interview. II.RECRUITMENT 1. Assist HR Generalist for conducting an initial job interview 2. Assist HR Generalist post and advertise vacancy to newspapers, universities/campuses, websites and other online sites. 3. Input all resumes in the data based 4. Attend job fair and job forum III. COMMUNICATIONS 1. Responsible in preparing all outgoing and incoming communication e.g. letter, memorandum, notices of HR Department per request of Superior. 2. Ensures that all communications/memorandum of HR are properly disseminated and received by respective recipients. 3. Responsible in the maintenance and upkeep of HR files and documents 4. Responsible in the maintenance and organized HR files on all government related documents and records, e.g. SSS, PHIC, Pag-ibig Fund and records. 5. Maintains a monitoring log book on the in and out of documents/files of HR. 6. Maintains a monitoring of Masterlist and Incident Report 7. Maintenance and upkeep of HR Bulletin Boards VI. TIMEKEEPING, PAYROLL, COMPENSATION AND BENEFITS ADMNISTRATION 1. Responsible in handling the issuance of company uniforms and ID Cards for employees. a. Processing of purchase request and request of payments. 2. Maintenance Inventory list of Assets accountability of Assignees. 3. Responsible in monthly request of HRD office supplies 4. Monitor availability of Admin and HRD forms and facilitates request for printing and reproduction 5. Extract from the Biometric Time Keeping records of all employees every payroll cut-off period 6. Uploads and collates employees’ attendance from Biometric System of respective Business Units including other form of attendance sheet. 7. Assists HR Officer in payroll processing as needed. 8. Assists facilitating and coordinating with depository banks in opening of saving account for newly hired employees if necessary. a. Responsible of enrolling all employees in the biometric timekeeping system Orient employees in the proper procedure to time-in/time-out based on the established standards of the company. 12. Consolidate required payroll data of employees e.g. overtime, leave credits, absences, tardiness, and other authorized deduction for the preparation of payroll summary. 13. Checks completeness for leave form, overtime request etc. for payroll processing 14. Input and liquidation expenses IV. CORPORATE AFFAIRS/OTHERS 1. Assists in the inter-company corporate affairs and activities 2. Submits to HR Officer the following Management Reports: a. Monthly Tardiness and Absence Without Official Leave Report b. Monthly Reports on Employees Offenses c. Updated Employees Attendance Monitoring Report d. Monthly report of resigned employees and newly hired 3.
