Position: HR & Admin Assistant Location: Hattar Industrial Estate, Haripur Salary: Rs. 45,000/- Qualifications: Bachelors in HR, Business Administration/Management or relevant field. Experience: At least one year of work experience in executing HR and Administration tasks. Preference will be given to those candidates who have working experience in factory/manufacturing settings. Skills Required:
Must have good command of using MS Excel, Word, Power Point, Outlook.
Proficient in using Biometric Attendance systems.
Good typing and reporting skills
Good understanding of related labour laws, EOBI/Social Security matters and HR/Admin tasks requirements in factory settings.
Job Responsibilities: HUMAN RESOURCES Attendance & Leaves Management:
Manage biometric attendance machines including new staff enrolments, daily attendance reports, checking leaves/absents/late arrivals, producing weekly/monthly attendance reports for management view.
Recruitment:
Responsible to execute complete hiring cycle included understanding of hiring needs, obtaining hiring requisition forms, designing & discussing JDs, posting job ads, collecting resumes, shortlisting, initial screening, assisting final interviews with interview panel, collecting interview evaluation forms, initiating selection process.
Maintaining up to date CVs pool for future hiring in ATS or Excel based file.
Handling all job advertisement platforms such as Linked In, Indeed, Rozee, collecting CVs from HODs, and inspecting referral hiring.
Considering seniority ranks, salary slabs/budgets, organograms, eligibility criteria, educational requirements, and headcount limits during hiring process.
Creating job descriptions, and interview questions, that reflect the requirements for each position, and maintaining JDs file.
Compensation & Benefits:
Handling all matters related to compensation & benefits including Joiners/Leavers & Attendance detail for payroll preparation, EOBI portal management, Social Security contributions, medical claims, supporting employees to obtain Social Security cards, and all other matters related to this domain
Employees Record Management
Maintaining complete employees’ record in HRMS and Excel based MIS for, including but not limited to, offer letters, educational documents, identity documents, pictures, and any kind of letter issued to the employees.
Maintaining individual Personal Files for all employees.
Maintaining files of other documentation related to HR in hard form.
Maintaining record of transfers, promotions, increments, and issuance of disciplinary notices/letters to employees.
ADMINISTRATION
Provide administrative support to ensure efficient office operations.
Operate and maintain office assets/equipment, including furniture/fixture, surveillance systems, printers, stationery etc.
Handle health & safety matters of the employees especially production floor.
Maintain physical and digital filing systems.
Respond to admin related emails and other digital queries and correspondence.
Coordinate logistics for meetings, including rooms setup and catering.
Work with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand.
Supervise premises' cleaning & maintenance. Work closely with other administrative staff and support other colleagues as needed.
Work with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
Presents a positive and professional image for the SMJ.
