FEMALE executive assistant to CEO

Job Overview: The Executive Assistant to the CEO provides high-level administrative support, helping the CEO manage a wide range of business and personal responsibilities. This role requires someone with excellent organizational, communication, and time-management skills. The ideal candidate will be proactive, detail-oriented, and capable of handling confidential information with discretion. The Executive Assistant will act as a liaison between the CEO and internal/external stakeholders, ensuring smooth operations and effective time management.
Key Responsibilities:
Administrative Support:
Manage and prioritize the CEO's calendar, scheduling meetings, appointments, and calls.
Coordinate travel arrangements (flights, accommodations, ground transportation) for the CEO and occasionally other executives.
Screen phone calls, emails, and inquiries, and respond on behalf of the CEO when appropriate.
Prepare meeting materials, agendas, and presentations for internal and external meetings.
Conduct research and prepare reports or summaries as required by the CEO.
Task Management:
Assist in managing the CEO’s daily tasks and follow up on key deliverables.
Track and follow through on pending items, ensuring deadlines are met.
Handle ad hoc requests and special projects, ensuring timely completion.
Communication:
Serve as the primary point of contact between the CEO and both internal staff and external clients, vendors, or partners.
Draft and proofread correspondence, emails, reports, and presentations.
Coordinate with other departments on behalf of the CEO to ensure seamless communication and operations.
Meeting Coordination:
Schedule, organize, and attend meetings as necessary, taking detailed minutes and ensuring action items are addressed.
Prepare the CEO for upcoming meetings by providing relevant materials and background information.
Manage virtual and in-person meeting logistics, including conference room booking and technology setup.
General Support:.
Assist in managing confidential business and personal matters with discretion.
Provide backup support to other executives and the administrative team when needed.
Qualifications:
Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
Minimum of 3-5 years of experience in an executive assistant or similar role, preferably supporting a senior executive.
Exceptional written and verbal communication skills.
Strong organizational skills with the ability to prioritize tasks and multitask effectively.
Proficiency in Microsoft Office (Word, Excel, Power Point, Outlook) and virtual communication tools (e.g., Zoom, Teams).
Ability to handle confidential information with the utmost discretion.
Strong attention to detail and problem-solving skills.
Experience in managing complex travel and meeting logistics.

Work Schedule:

Salary: Commensurate with experience and qualifications
Job Types: Full-time, Fresher
Pay: Rs50,000.00 - Rs80,000.00 per month
