Project and Business Facilitator


The Commercial and Business Development Team is focused on delivering major commercial projects across Tātaki Auckland Unlimited, supporting the organisation to drive outcomes for the organisation and Auckland. The team also operates two of Auckland’s largest film studios, Auckland Film Studio and Kumeū Film Studio.

He angitūtanga: The opportunity
Tātaki Auckland Unlimited (TAU) has an exciting opportunity for a Project and Business Facilitator to join our Commercial and Business Development Team.

The Project and Business Facilitator’s purpose is to provide high quality project coordination and administrative support, lift the organisational capability of the team and make it run smoother and more efficiently, thus delivering better on its project commitments. You’ll manage the teams’ efforts to enable the delivery of projects and business operations. You’ll be responsible for a variety of different activities including project planning and coordination, project delivery, reporting, including financial planning, cross organisation engagement as well as supporting the film studios procurement processes and site managers.

Activities this role includes, but are not limited to:

  • Leading project planning and coordination, tracking and monitoring across the portfolio of team projects
  • Support the delivery of project and activities for the team
  • Work proactively across the team to capture and document financial forecasts, assumptions and actuals
  • Manage the team business and reporting process in line with organisational process, procedures, and policy
  • Manage finance/budgeting, procurement, and contract management processes with the team, including planning, monthly forecasting raising POs and using SAP
  • Management of team admin, diaries and project coordination
  • Manage contact information, and where appropriate engagement, for key stakeholders, customers and suppliers
  • Forecast, monitor and report on programmes and project milestones and resource requirements
  • Relationship management with internal stakeholders and external suppliers to provide effective financial and administrative support to the studios. This includes providing support, where required, of full procurement services and supporting the Film Studio Manager and Studio Site Managers to facilitate the carrying out of repairs and maintenance as well as ensuring supplier contracts are maintained.

The role is varied and requires a flexible individual who focuses on supporting the core functions of the team and enhances the quality of their deliverables across key projects. To be successful in this role, you will have…

  • Bachelor’s degree and/or tertiary qualification(s) in related discipline
  • 3+ years project management or co-ordination experience
  • Planning, budgeting and reporting experience
  • Previous experience in the public sector would be an advantage
  • Previous experience of using SAP and/or Ariba would be an advantage
  • A full driver’s license.

  • Ability to deliver a high level of client service with a pro-active approach to problem-solving
  • Shown ability to deliver a project to completion
  • Can handle and make sense of information and advice coming from a variety of different stakeholders and channels
  • Excellent attention to detail and time management skills, including planning and prioritisation
  • Outstanding communicator
  • Honest and trustworthy with a high degree of personal integrity
  • People management, particularly the ability to work successfully in a team, to set goals, working with others to deliver results, building team spirit and supporting others
  • Committed to becoming an advanced user of TAU’s administrative, financial and reporting tools (SAP, Ariba, Sentient, CRM etc.)
  • Advanced Excel, Word, Power Point and Outlook expertise
  • Ability to communicate clearly and concisely across a range of written medium.
