Receptionists to join their team. The receptionists will manage high volumes of incoming calls, transfer them to the appropriate personnel, and support general administrative tasks. They will also play a unique role in observing communication patterns, identifying trends, and providing valuable insights to managers—such as alerting them if a specific employee is not regularly updating their clients.
The ideal candidate will have a warm, outgoing personality, with excellent people skills and a natural ability to balance friendliness with professionalism. This role offers potential for growth into a Legal Intake position as the individual becomes more familiar with the firm’s operations and software.
Key Responsibilities:
- Phone Management: Answer and manage a high volume of incoming calls with a friendly and professional demeanor; efficiently transfer calls to the appropriate personnel.
- Administrative Support: Perform general administrative tasks as needed, including data entry, record-keeping, and basic document preparation.
- Insight Generation: Observe and analyze call patterns to identify potential areas for improvement (e.g., if a specific attorney consistently receives client follow-up calls). Provide timely insights to managers to enhance client communication.
- Client Relations: Maintain a positive, empathetic, and assertive approach with all client interactions, ensuring that each caller feels valued and heard.
- Collaboration: Work closely with the law firm team, providing seamless communication and supporting the firm’s operational needs.
