Shipping Assistant
Job Description
We’re hiring a Shipping Assistant for WR Grace Specialty Chemicals (M) Sdn Bhd located at Gebeng Industrial Area , Kuantan Pahang who will report to the Logistics Executive ( Shipping ) . She/he will be responsible for shipping activities in the Logistics Department.
Responsibilities
- Receiving all orders from Order Fulfilment Team, and to acknowledge the receiving of such orders. Plan and commit for shipping all orders received.
- To consider production plans and schedules on scheduled basis, incorporating planned inventory buildup and all sales requirements.

Provide required management reports on timely manner and other clerical support functions for the department.;
- Requires planning and scheduling skills. By creating a schedule of all the incoming and outgoing shipments and a list of tasks to complete as this helps to ensure outgoing shipments arrive on time.
- To create plans when working with suppliers, letting them know what materials to order.

To assist the inventory management team with inventory reconciliation activities;
- To be responsible for reconciliation of variances and up-dating of stock-take into SAP and PTS
- To be responsible for secondary job activities (i.e sampling, filings, purchasing activities, etc) amongst Shipping Assistant.
- To assist shipping executive in initiate and implement best practices in shipping process.
- Co-ordinating with customer service, shipping assistants, planners and logistics, production, quality, and tech service to ensure timely shipments,
- Ensure that required shipping schedule is met,
- Correct and timely shipping documents are issued,
- Correct and timely information is captured (i.e. SAP, PTS, etc.),
- Prepare correctly and submit on timely basis reports that are required,
- Liaise with freight forwarders on shipments bookings
- Assist in liaising with customer service and freight forwarders on delivery and schedules
- To interact with sales and carriers as needed to resolve shipping issues.
- To carry out job functions /ad-hoc duties delegated by the Supervisor from time to time.
Required Qualifications
- Minimum SPM or Certificate in Shipping with 2-5 years of experience in logistics/shipping related areas would be an advantage.
- Experience with SAP
- Good English communication skills and ability to work independently and under pressure.
