Admin Executive (Health & Beauty company @ Sutera Utama JB)
Job Description:
1) Oversee the full spectrum of administrative functions, including managing company licenses, insurance policies, tenancy agreements, utilities, and maintenance activities to ensure compliance and smooth operation
2) Develop and manage administration schedules and ensure all deadlines are met, coordinating across departments as needed
3) Track and manage the company’s administration budget and expenses, ensuring all expenditures are within approved limits and cost-effective
4) Monitor office stationery and supplies inventory levels and manage the purchasing process for new materials, keeping within budgetary constraints
5) Supervise facilities services, oversee maintenance activities, and coordinate with tradespersons (e.g., electricians, plumbers) to maintain a safe and efficient work environment
6) Develop and maintain an organized filing system for all company documents and records to ensure easy retrieval and compliance with record-keeping policies
7) Provide logistical and administrative support for company events and functions, including coordination and setup
8) Process and manage director claims accurately and promptly in accordance with company policies
9) Arrange travel logistics, including booking tickets and accommodations, for outstation staff and ensure all arrangements align with company policies
10) Ensure all administrative processes comply with internal policies and external regulations
11) Carry out any additional duties the superior directs to support overall business objectives and departmental needs
12) Support company events & functions when necessary
Requirements:
1) Minimum Diploma or Degree in Business Administration, Management, or a related field
2) At least 2-3 years of experience in an administrative or executive support role, preferably within a corporate environment
3) Proficiency in Microsoft Office (Word, Excel, Power Point) and familiarity with office management systems
4) Strong organizational and multitasking skills with an ability to manage multiple priorities and deadlines
5) Excellent written and verbal communication skills
6) Ability to work independently and as part of a team
7) Good problem-solving skills and the ability to handle unexpected challenges professionally
8) Knowing corporate secretarial work and laws will be an additional advantage
9) High level of integrity and ability to handle confidential information
10) Proactive, self-motivated, and adaptable to change
Job Types: Full-time, Permanent Pay: RM2,500.00 - RM4,000.00 per month
