Job Summary:
The Administrative Assistant provides essential support to ensure the efficient operation of the office. This role involves a variety of administrative tasks, including managing communications, organizing files, scheduling appointments, and assisting staff as needed. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Key Responsibilities:
  • Communication Management:
  • Answer and direct phone calls and emails.
  • Serve as the first point of contact for visitors and clients.
  • Prepare and distribute internal and external communications.
  • Scheduling and Coordination:
  • Manage calendars for supervisors and team members.
  • Schedule meetings, appointments, and travel arrangements.
  • Document Management:
  • Organize and maintain electronic and physical filing systems.
  • Prepare and format reports, presentations, and other documents.
  • Assist with data entry and database management.
  • Office Support:
  • Order office supplies and maintain inventory.
  • Ensure office equipment is functioning properly and arrange for repairs as needed.
  • Assist in onboarding new employees and training staff on office procedures.
  • Financial Administration:
  • Assist with basic bookkeeping tasks, including invoicing and expense tracking.
  • Project Assistance:
  • Support team projects by providing research, documentation, and administrative support.
  • Track project timelines and deliverables to ensure deadlines are met.
  • Compliance and Record Keeping:
  • Maintain confidentiality of sensitive information.
  • Ensure compliance with company policies and procedures.
Job Type: Full-time
Pay: From RM1,500.00 per month
