Job Purpose
To support the delivery of publicity by providing administrative support within the Marketing
Communications team.
Job Description
Primary Objectives/Key Responsibilities
Publicity Support

Support in the delivery of the publicity plan
-
Support the design of itineraries for media trips, and assist with the coordination of logistics

Assist in the management and delivery of market budgets, ensuring audit backups are filed, best rates are secured, purchase orders are raised, and expenditure sheets are completed

Complete monthly credit card and budget reconciliation

Report regularly on costs and results

Set up new vendors with procurement

Source suppliers from time to time, and manage relationships with existing suppliers
Administrative Support

Assist in the management of the budget for the department

Assist in the drafting of quarterly reports for leadership and programme teams

Ensure relevant information is uploaded to Fáilte Ireland’s CRM system in a timely manner

Maintain a database of hosted media

Provide logistics support for meetings
-
Record, produce and distribute minutes of meetings, follow up on actions and record outcomes
Stakeholder Management

Liaise with programme teams on suggestions and ideas for itineraries

Co-ordinate arrangements for meetings with external partners, agencies, and providers

Engage and manage relationships with other third party providers
Carry out all other duties as required and participate as a full member of the International Publicity team by supporting different work projects, as required, from time to time.
This role requires some travel, with attendance at a number of national and regional locations / sites on an annual basis
This role will require working unsocial hours including bank holidays with regular attendance at Dublin-based divisional and project meetings.
The flexibility to travel domestically, and on occasion internationally is an element of this role.
Person Specification
Essential Criteria
In order to be eligible to apply for this role you must have / demonstrate in your application form the following

A minimum of two years’ experience working in an administrative role
-
Experience recording and reporting on spend
-
Experience in organising and managing itineraries, events, and/or projects

Experience dealing with suppliers
Qualifications/Mandatory Training
- A professional qualification (minimum Level 6 under the QQI Framework) in a related discipline is essential
Desirable Criteria
-
Knowledge of the Irish tourism and hospitality industry

Experience in the PR industry

Experience dealing with suppliers within the hospitality industry
