Exam Invigilators and Interlocutors - Galway

Start Date: September 2024
International House Trust Assessment are looking to recruit Invigilators and Interlocutors to support our Galway based exam operations. Currently, we run the session on Saturdays once a month (working hours: 7:00 - 17:00). The role requires you to provide a professional examination service ensuring a calm environment to give candidates the best possible opportunity to be successful in their exams.
You will invigilate and supervise candidates sitting for examinations, ensuring that they are held according to the relevant requirements and codes of conduct. You will also act as interlocutor for the speaking sub-test of the exam.
Invigilators and Interlocutors will be required to support strict processes and be able to follow the required guidelines/regulations upholding the integrity and security of the examination. Applicants should have good communication and organisational skills, and a proven ability to be punctual and reliable.
Invigilator
Duties and Responsibilities:
  • Ensure an excellent test day experience for all candidates.
  • Follow the candidate journey on test day.
  • Check and verify IDs.
  • Vigilance regarding the use and misuse of electronic devices by candidates.
  • Understand the OET Test Regulations and be committed to ensuring that all candidates adhere to the OET Test Regulations.
  • Be able to initiate emergency procedures in the venue as and when they occur.
  • Read out the full instructions precisely as set-out in the invigilation script.
  • Ensure that exam conditions are followed.
  • Manage candidate bathroom breaks according to regulations.
  • Be able to set up and manage the sound equipment.
  • Complete OET feedback and paperwork.
  • Collect and hand out examination papers to candidates.
  • Detect and report any cases of malpractice.
Before the test begins, Invigilators will also be tasked with other roles, such as helping to set up the venue, registering candidates, supervising candidates before the test begins or working in the cloakroom. Duties for these roles include:
  • Greet candidates as they arrive and ensure that only OET booked candidates enter the test venue.
  • Escort candidates to waiting/exam rooms.
  • Direct candidates to maintain the smooth flow through test day processes and maintaining security.
  • Supervise candidates and accompany them for any bathroom breaks.
  • Draw the candidates’ attention to the relevant posters displayed regarding what is acceptable and what isn’t.
  • Registration: perform an ID check, verify the student on the OET system and take their photograph and inform candidates why test day photos are taken and ensure that they understand the process.
  • Cloakroom: Cloak items from candidates using a ticketing system.
  • Ensure only authorised items are allowed in the test rooms.
Skills and Experience:
  • Good levels of communication with candidates.
  • Attention to detail.
  • Ability to follow instructions.
  • Punctual, reliable, observant.
Interlocutor
This role takes place in the afternoon following the morning exams. Interlocutors usually work as an invigilator in the morning (see below).
Duties and Responsibilities:
  • Conduct speaking tests with candidates in the form of role-plays based on the candidates’ healthcare profession (please note the Interlocutor does not mark the test – this is sent off for external marking).
  • Follow a script and the role play information provided.
  • Follow all security protocols to ensure test compliance including secure handling of test materials.
  • Check ID.
  • Accurately complete all administrative documents.
  • Consistent delivery of the speaking test.
Skills and Experience:
  • Degree or equivalent from a certified university or educational institute.
  • Overall language proficiency equivalent to the Common European Framework of Reference (CEFR) level C1 or higher.
  • Clear diction, including minimal interference from the first language in pronunciation.
  • Linguistic accuracy.
  • The ability to communicate in the interview context and participate in the role play competently and confidently.
  • Excellent attention to detail and administrative accuracy.
Job Type: Part-time
Pay: €13.00-€14.50 per hour
Expected hours: 1 – 10 per week
