Job Objectives
The Role of a Data Retention Project Administrator is a fixed term 6 month contract supporting the Data Protection office. The candidate will contribute to the smooth running of a project upgrading the departments digital storage of data.
This will include the following on a day-to-day basis:
- Live our Mission, Vision & Values
- Ensuring documentation has been named, uploaded, and filed correctly in Share Point.
- Maintaining documentation in Share Point e.g. site, library, folder.
- File documents in physical and electronic copies.
- Restructure existing files to current naming convention.
- Implement GDPR policies.
- Retrieve files as requested by employers.
- Manage the flow of documentation.
- Implementing and tracking of documentation.
- Destruction of all superseded and obsolete copies of documents.
- Tracking and reporting to relevant managers documentation which requires update.
- Numbering and labelling documents for identification and reference.
- Scanning, copying, and distributing documents to Management.
- Tracking documents to maintain confidentiality.
- File documents in physical and digital records and ensure appropriate storage.
- Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date.
- Maintain confidentiality around sensitive documentation.
- Prepare ad-hoc reports on documentation when required.
- The Data Retention Project Administrator will work in accordance with Data Protection Act 2018 and General Data Protection Regulation (GDPR), supporting Nua’s Data Protection framework, processes and requirements.
- Work closely with Nua’s Data Protection Officer to assist Nua in maintaining a Privacy by Design Culture and data retention in the Company and support Nua with regard to administration of its Data Protection Framework.
- Support data protection related initiatives under the direction of the Data Protection Officer.
- Review and classify paper files in line with Nua’s Data Retention Policy
- Prepare statistical reports on data protection activities including quality assurance for underlying historical data.
- Any other duties that may be requested from time to time.
Skills Requirement
Knowledge:
- Knowledge of standards and legislation relevant to the area.
Experience:
- Previous experience in office based role is preferable.
Skills:
- Strong technical and organisational skills with the ability to meet strict deadlines.
- Ability to develop relationships with existing stakeholders (internal and external).
- Flexibility to meet changes in work requirements.
- Strong interpersonal skills, drive and enthusiasm are a pre-requisite for this role.
- Proficient in use of Microsoft Office packages - excel, word and powerpoint is essential.
- Ability to effectively and concisely communicate with team members, management, and other key business relationships.
