§ Greet and welcome guests upon arrival. § Register guests as per LTH Standards and immediately update the system. § Promote Lemon Tree Smiles Program and provide recognition and benefits to all present members § Accept payment for guests’ accounts both at the time of registration and at checkout. Maintain a house bank and make a deposit and accurate report of receipts daily. Cash checks and exchange currency for guests and post them into the system. § Issue key to and control entrance of safety deposit boxes. Post miscellaneous charges as requested § Providing guests with information regarding hotel facilities and local attractions § Handle reservation requests at the desk directly when required § Use guest name whenever possible in accordance with LTH standards § Actively contribute to LTS and up selling programs § Handle restaurant bookings promptly and efficiently, whilst promoting in-house facilities § Be familiar with all room types, availability, rates, group movements and billing, daily events, promotions, VIP’s and Guest History guests § Be fully conversant and efficient in dealing with foreign currencies and their exchange rates in order to provide foreign exchange services to guests § Demonstrate thorough knowledge of and actively sell all products, services and special events within the hotel § Speedy fulfilment of guest requests is the main focus of this role. These will include maintaining keys, handling messages and couriers, photocopying and assisting with business centres functions, arranging office transfers, co-ordinating car hires and levying the charges contracted with the company or published tariffs. § While the Associate is working as a telephone operator his / her role would consist of handling external calls for in house guests, logging down of messages for guests and also re-directing calls to functions within the hotel for whom calls may come § Guest arrivals co-ordination: Preparation of the arrival list of the previous day–for the day, rooms allocation with relevant information, co-ordinating functions, sending cars for airport pick-ups if required. § Reception activity: Thorough understanding of the PMS, taking guest check-ins as per reservation details and informing the guest about services and plans offered to the guest by the hotel. Reconfirming on departure details and filling out of forms and information mandatory by law. § Taking guest check-outs: preparation of clear and complete bills after checking for minibar and other services, filing invoices for the same, requesting for Guest comments/feedback in the GSTS form, arranging transportation requirement for guests for office/airport transfers and charge accordingly. § Co-ordinating with other functional departments for smooth operation of hotel § Keep track of guest bills and answering guest queries regarding billing issues with the supporting § Convey a high level of understanding of the importance of attending to details & ensure accuracy by verifying work against standards or input of others. § Handle challenging situations with guests diplomatically. § Take extra steps (Above and Beyond the Call of Duty) to ensure work was completed despite a lack of cooperation from others. § Maintain a high level of output and quality regardless of the task load. § Maintain an organized system to ensure that processes are getting completed on time § Attending to walk-in visitors by providing information regarding services provided by the hotel and rates charged for the services § Cash, Credit Card, Foreign Currency and Bill to Company settlement of guests checking out and foreign currency money exchange for in house guests § Practice LTH Smiles program religiously § Maintaining an accurate and up-to-date guest profile database. § Maintaining confidentiality of all guests, company information and records § Ensuring all guest feedback and requests are recorded § Maintaining hotel/statutory records as required § Create GSTS report and creating GSTS comparative report § Maintain daily logbook and conduct informative handover to next shift ensuring that all relevant information is passed on clearly § Undertake other duties as requested by Department Head/Shift Leader and Hotel Management Constantly update his/her self on regular customer preferences, technical knowledge and skills.
