Front Desk Executive

Job Title: Front Desk Associate
Location: Shalom Backpackers Hostel (Rishikesh, Udaipur, Goa, Mussoorie, Jaipur)

Job Overview
As a Front Desk Associate at Shalom Backpackers Hostel, you will be the first point of contact for our guests. Your role is essential in delivering exceptional customer service and ensuring that our guests have a memorable experience from check-in to check-out. You will handle guest inquiries, process reservations, and manage various aspects of the front desk operations while contributing to a welcoming and friendly environment that reflects the essence of Shalom Backpackers.
Key Responsibilities1. Guest Services and Interaction
  • Check-in/Check-out: Efficiently handle check-in and check-out processes, ensuring accuracy and adherence to hostel policies.
  • Guest Communication: Respond to guest inquiries via phone, email, and in person with a friendly and professional attitude. Address questions regarding hostel services, local attractions, and travel assistance.
  • Guest Experience: Offer information about local activities, tours, events, and excursions, ensuring guests feel welcomed and engaged.
  • Issue Resolution: Handle guest complaints, special requests, and unforeseen issues with professionalism, escalating to the reservation manager if necessary.
2. Reservations and Bookings
  • Reservation Management: Process guest reservations, modifications, and cancellations using the hostel’s Property Management System (PMS).
  • Room Assignment: Manage room inventory and allocate dorm beds or private rooms in accordance with guest preferences and availability.
  • Payment Processing: Handle payments, including credit card transactions, cash handling, and issuing invoices or receipts.
3. Hostel Operations and Coordination
  • Guest Data Management: Maintain accurate records of guest details and ensure compliance with hostel registration and data privacy policies.
  • Collaboration: Coordinate with housekeeping and maintenance teams to ensure rooms are clean, prepared, and ready for new arrivals.
  • Daily Reports: Compile daily reports including room occupancy, guest feedback, and financial summaries for management review.
4. Safety and Security
  • Hostel Safety Protocols: Follow safety and emergency procedures. Monitor security systems, and ensure that the hostel environment remains safe and secure for guests and staff.
  • Key Control: Manage key or access card distribution and ensure return upon guest check-out.
5. Community and Experience Engagement
  • Hostel Events: Assist in organizing hostel activities and social events to foster a vibrant guest community.
  • Feedback Collection: Proactively seek guest feedback on their stay and address any concerns to improve hostel services.
Requirements Educational and Professional Background
  • Education: A high school diploma or equivalent is required; additional certification in hospitality or customer service is a plus.
  • Experience: Previous experience in a front desk, receptionist, or customer service role, preferably in the hospitality industry.
Skills and Competencies
  • Communication Skills: Strong verbal and written communication skills in English; knowledge of additional languages (Hindi, local dialects, or foreign languages) is a plus.
  • Tech-Savvy: Proficient in using Property Management Systems (PMS), Microsoft Office, and other basic computer programs.
  • Problem-Solving: Ability to think quickly and resolve guest concerns effectively while maintaining a calm and professional demeanor.
  • Multitasking: Ability to manage multiple responsibilities, from guest check-ins to handling inquiries and room reservations simultaneously.
  • Attention to Detail: Accuracy in managing bookings, processing payments, and guest data.

Work Conditions
  • Shifts: Must be available to work flexible shifts, including weekends, evenings, and holidays.
  • Physical Requirements: Ability to stand for long periods, assist with luggage, and handle light physical tasks as needed.
