Job Title: Executive - Export and Import Shipment Documentation Department: Finance Location: Dahisar East, Mumbai Job Type: Full-Time Reports To: General Manager Service Operations Job Summary: The Executive - Export and Import Shipment Documentation will be responsible for managing all aspects of shipping documentation for international trade. This includes preparing, organizing, and tracking documents required for the export and import of goods. Key Responsibilities: 1. Prepare and verify shipping documents such as bills of lading, invoices, packing lists, and certificates of origin. 2. Coordinate with freight forwarders, shipping lines, and customs brokers to ensure timely shipment and delivery of goods. 3. Maintain accurate records of all shipments and documents in accordance with company policy and international trade compliance regulations. 4. Assist in resolving any discrepancies or issues related to shipment documentation. 5. Communicate with internal departments and external stakeholders to ensure smooth operation of the export and import process. 6. Stay updated with changes in regulations and requirements related to international trade documentation. Responsibility in detail: 1.Provide a Proforma Invoice: An initial invoice is sent to the buyer with the details of the goods and terms of sale 2.Obtain License and Quota: All the necessary export license and quota from the government needs to be applied, arranged and regularly checked for all the entities 3.Letter of Credit: Requests a letter of credit from the buyer to guarantee payment 4.Fixing the Exchange Rate: The exchange rate for currency conversion is agreed upon 5.Foreign Exchange Formalities: Comply with the Foreign Exchange Regulation Act by furnishing a declaration 6.Prepare for Executing the Order: Arrangements to be made to fulfill the order, including manufacturing co-ordination and packaging list 7.Formalities by a Forwarding Agent: Contact a forwarding agent for customs clearance and prepares the shipping bill 8.Bill of Lading: After shipping, receive a bill of lading from the shipping company 9.Shipment Advice to the Importer: Informs the importer that the goods have been shipped 10. Presentation of Documents to the Bank: Presents all shipping documents to the bank 11. Realization of Export Proceeds: Completes banking formalities to receive payment for the goods. 12. Duty drawback and Ro DTEP: Keep a record of duty drawback and surrender through Ro DTEP scheme. Qualifications:
Bachelor's degree in Business Administration, Logistics, or a related field.
Minimum of 3 years of experience in export and import documentation or a similar role.
Proficient in Microsoft Office Suite and documentation management systems.
Strong knowledge of international trade compliance and shipping regulations.
Excellent organizational skills and attention to detail.
Ability to work independently and as part of a team.
Strong communication and interpersonal skills.
