Job Title: Executive Assistant to CEO
Location: Institute of Neuro Development (IND), Sovabazar, Kolkata

Position Summary:
The Executive Assistant to the CEO will serve as a vital right-hand support to the CEO, assisting in managing daily business operations and ensuring organizational objectives are met. This role requires excellent follow-up, coordination, and multitasking skills, with a focus on helping to drive progress across the various verticals within IND. The successful candidate must be dynamic, proactive, and able to effectively manage multiple priorities while maintaining clear communication with all stakeholders. The role also involves handling the CEO’s calendar, overseeing project management, and performing personal tasks as needed to enhance the CEO’s work efficiency.

Key Responsibilities:
  • Follow-Up and Coordination
  • Proactively follow up on tasks, projects, and initiatives with different verticals (such as Sales, Marketing, Clinical Services, Finance, etc.) to ensure progress aligns with organizational objectives.
  • Liaise between the CEO and different departments to streamline operations and keep communication flowing efficiently.
  • Support in Business Operations
  • Assist the CEO in business operations, including preparation of reports, presentations, and documentation required for decision-making.
  • Identify roadblocks in workflows and processes and assist in creating solutions to optimize efficiency and productivity.
  • Project Management
  • Assist with the coordination and tracking of multiple projects across the organization.
  • Implement project management strategies to ensure deadlines and milestones are met.
  • Calendar Management
  • Manage the CEO’s calendar, scheduling meetings, appointments, and events efficiently.
  • Ensure the CEO is well-prepared for meetings and has access to all relevant materials.
  • Personal Assistance
  • Assist with personal tasks for the CEO, such as handling travel arrangements, personal appointments, and other personal errands that contribute to the CEO's overall efficiency.
  • Communication & Problem-Solving
  • Maintain strong communication across all levels of the organization to ensure alignment with the CEO’s objectives.
  • Act as a point of contact for internal and external stakeholders, representing the CEO when necessary.
  • Use problem-solving skills to address challenges and issues that arise in business operations or projects.
  • Documentation & Reporting
  • Prepare regular reports for the CEO summarizing progress, risks, and outcomes related to ongoing projects.
  • Create and manage organizational documents, ensuring proper filing and retrieval systems are in place.
Qualifications:
  • Experience: 3-5 years of experience in a similar role (Executive Assistant, Operations Assistant, Project Coordinator) with a focus on coordination, follow-up, and supporting business operations.
  • Education: Graduate from a recognized institution. Additional certifications in project management, business administration, or related fields are a plus.
  • Skills:
  • Follow-Up Skills: Must have strong follow-up skills and the ability to ensure tasks are completed in a timely manner.
  • Multitasking: Ability to manage and prioritize multiple tasks and projects simultaneously.
  • Coordination: Proven experience in coordinating with multiple teams or departments.
  • Communication: Excellent verbal and written communication skills, with the ability to communicate effectively with senior management and staff.
  • Project Management: Strong project management skills, with an ability to use tools like Microsoft Excel, Google Sheets, and other project management software.
  • Problem-Solving: Ability to anticipate challenges and create solutions to maintain operational efficiency.
  • Tech-Savvy: Comfortable with technology and tools that assist in task management, reporting, and scheduling (e.g., Asana, Trello, etc.).
  • Personal Assistance: Comfortable with handling personal tasks, including travel arrangements, personal appointments, and errands.
Salary:
  • ₹15,000 – ₹30,000 per month, depending on experience and skills.
Others:
  • Preferably married and settled, with job stability (i.e., not someone who changes jobs frequently).
  • Honest, dependable, and committed to enhancing the CEO’s productivity.
