JOB DESCRIPTION POSITION: Administrative Assistant Work Days - 6 Days work week in office. Timings: 9:30am to 5:30pm with Chai and Lunch Break REPORTING TO: CEO and Executive Board ORGANIZATION Alex Agape Foundation (AAF), Registered in 2017 as a Public Charitable Trust in Kerala, India, our primary objective is, to care for orphaned, abandoned, abused, and underprivileged women and children. Administrative Assistant *The home staff is all female, therefore a female Administrative Assistant is desired. Role Overview: As the Administrative Assistant, you will play a pivotal role in ensuring the smooth and efficient operation of the institution. You will provide comprehensive administrative support to the CEO, manage staff, and contribute to strategic initiatives. Key Responsibilities:
Administrative Support:
Manage the CEO's calendar, schedule appointments, and coordinate travel arrangements.
Prepare and draft correspondence, reports, and presentations.
Handle incoming and outgoing calls, emails, and mail.
Maintain and organize files, records, and databases.
Assist with the preparation of budgets and financial reports.
Proficiency in Microsoft Word, Excel, and Power Point is essential.
Staff Management:
Assist the CEO in managing staff, including recruitment, onboarding, training, and performance evaluations.
Implement and enforce policies and procedures to ensure efficient operations.
Coordinate staff meetings and team-building activities.
Translation Services:
Serve as the primary translator between the CEO and staff members who speak Malayalam.
Ensure accurate and timely communication between the CEO and all stakeholders.
Marketing, Fundraising, and Donor Relations:
Collaborate with the CWO on marketing initiatives to promote the institution's programs and services.
Assist in fundraising efforts by researching potential donors and preparing grant proposals.
Manage donor relationships and maintain donor records.
Project Management:
Support the CEO in planning and executing projects that align with the institution's goals and objectives.
Coordinate with relevant teams and stakeholders to ensure project success.
Qualifications:
Bachelor's degree or equivalent experience.
Proven experience as an Administrative Assistant or in a similar administrative role.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite.
Fluency in English and Malayalam.
Ability to work independently and as part of a team.
Solid time management abilities.
Additional Skills (Preferred):
Experience in non-profit or educational institutions.
