Administrative Assistant

JOB DESCRIPTION
POSITION: Administrative Assistant

Work Days - 6 Days work week in office.
Timings: 9:30am to 5:30pm with Chai and Lunch Break
REPORTING TO: CEO and Executive Board
ORGANIZATION
Alex Agape Foundation (AAF), Registered in 2017 as a Public Charitable Trust in Kerala, India, our primary objective is, to care for orphaned, abandoned, abused, and underprivileged women and children.
Administrative Assistant
*The home staff is all female, therefore a female Administrative Assistant is desired.
Role Overview:
As the Administrative Assistant, you will play a pivotal role in ensuring the smooth and efficient operation of the institution. You will provide comprehensive administrative support to the CEO, manage staff, and contribute to strategic initiatives.
Key Responsibilities:
  • Administrative Support:
  • Manage the CEO's calendar, schedule appointments, and coordinate travel arrangements.
  • Prepare and draft correspondence, reports, and presentations.
  • Handle incoming and outgoing calls, emails, and mail.
  • Maintain and organize files, records, and databases.
  • Assist with the preparation of budgets and financial reports.
  • Proficiency in Microsoft Word, Excel, and Power Point is essential.
  • Staff Management:
  • Assist the CEO in managing staff, including recruitment, onboarding, training, and performance evaluations.
  • Implement and enforce policies and procedures to ensure efficient operations.
  • Coordinate staff meetings and team-building activities.
  • Translation Services:
  • Serve as the primary translator between the CEO and staff members who speak Malayalam.
  • Ensure accurate and timely communication between the CEO and all stakeholders.
  • Marketing, Fundraising, and Donor Relations:
  • Collaborate with the CWO on marketing initiatives to promote the institution's programs and services.
  • Assist in fundraising efforts by researching potential donors and preparing grant proposals.
  • Manage donor relationships and maintain donor records.
  • Project Management:
  • Support the CEO in planning and executing projects that align with the institution's goals and objectives.
  • Coordinate with relevant teams and stakeholders to ensure project success.
Qualifications:
  • Bachelor's degree or equivalent experience.
  • Proven experience as an Administrative Assistant or in a similar administrative role.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite.
  • Fluency in English and Malayalam.
  • Ability to work independently and as part of a team.
  • Solid time management abilities.
Additional Skills (Preferred):
  • Experience in non-profit or educational institutions.
