Responsibilities
Personal Assistance to NIH Managing Director
- Organizing Business Travels
- Prepare Expense Reports, Requisitions, etc.
- Manage external appearances (associations, industry events, media)
Navigate competing priorities, highlight potential risks and propose preventative actions
Operations
- Ensure compliant daily operations and provide administrative support to site
- Point of contact for coordination of site scale initiatives (IRG’s), events, activities
- Liaise with HRBP to ensure HR activities are rolled out and completed according to timeline
- Prep material for operational reviews and coordinate content contributors
- Manage the involvement of the NIH Managing Director in site scale initiatives (IRG’s), events, activities
- Administrative support to NIH Site Management Team and NIH MFG Site Leadership
Support the Talent Acquisition process for assistants/site operations managers at NIH
Representation
- Supporting NIH appearances and events (social and press)
- Hosting External and Internal Visitors
- Facilitating cross functional alignment and creation of complex agendas with focus on efficiency and site representation
- Organize business dinners, events
Managing connections with external partners incl. government and industry relations (Represent NI in DBSC Roundtable)
Communication
- Promote and contribute to sharing local and corporate messages at NIH
- Prep and review local messages
- Drive and manage visibility of and communications from NIH Managing Director
- Contribute to social media content creation and site visibility
Actively seek employee feedback and initiate actions in response to that
Development
- Organize all NIH leadership meetings both in person and on virtual platforms from coordinating the prep process, speakers, content creation and all communication pre and post event
- Lead the Assistant Community at NIH and facilitate cross-functional alignment within NIH
- Lead projects and contribute to Site Strategy initiatives with focus on leadership development and employee engagement
- Connecting the local admin community with the global and EMR admin community
- Constantly improving visitor experience in line with safety and other local policies
Drive initiatives and events locally (Ambassador Program, Social) supporting site representation and employee engagement
