IRAP is seeking an Operations Support (Mini Job). The Operations Support (Mini Job) supports the team by managing and maintaining office facilities to ensure a smooth and efficient working environment. Key responsibilities include tasks such as maintaining the coffee machine, handling mail and scanning, managing facilities requests, and supporting various administrative needs. Additionally, the Operations Support (Mini Job) will manage inventory stock counts, assist with personal occasions and holidays, coordinate office visitors, contribute to the IRAP Europe bi-weekly newsletter, and help organize staff events at the Berlin office. This role will primarily be conducted on-site, with some flexibility as needed. The position reports to the IRAP Europe Admin Assistant.
Responsibilities
- Maintain and service the coffee machine to ensure it is always in good working condition.
- Handle incoming and outgoing mail, including scanning documents and managing mailboxes.
- Perform ad hoc administrative tasks as needed to support the office.
- Respond to and manage facilities requests, ensuring a safe and functional office environment.
- Conduct regular inventory stock counts and manage supplies to ensure adequate stock levels.
- Monitor and manage the general IRAP Europe email account for any inquiries.
- Assist with organizing personal occasions and holiday-related activities.
- Welcome and coordinate visitors to the Berlin office, ensuring a smooth visitor experience.
- Support the production of the IRAP Europe bi-weekly newsletter.
- Help plan and organize staff events at the Berlin office.
Qualifications
- Ability to perform basic maintenance tasks and operate office equipment (e.g., coffee machine maintenance).
- Good organizational skills with attention to detail.
- Basic administrative skills, including handling mail, scanning, and inventory management.
- Good communication skills, both written and verbal. German (B1-B2) and English (B2).
- Ability to manage multiple tasks and prioritize effectively.
- Friendly and professional demeanor, particularly when coordinating with visitors and staff.
- Able to work with basic office software (e.g., Gmail, Microsoft Office).
- Ability to work independently and collaboratively as part of a team.
- Flexibility to adapt to various tasks and responsibilities as needed.
- Ability to lift up to 10 kg
- Must have a valid work permit to work in Germany.
Employment Duration:
This is a fixed-term position with a duration of 6 months, with the possibility of extension depending on performance and organizational needs.
Compensation and benefits :
The Operations Support (Mini Job) will receive a monthly salary of €538. In addition, this role includes a €50 Uber/Uber Eats voucher per month and a fully paid Deutschland Ticket provided by IRAP Europe for the duration of the employment. This position follows the regulations for Minijobs in Germany.
Working Days:
The position requires 2 working days per week, totaling 10 hours, with flexibility in scheduling within regular office hours to meet team and office needs. This role is based on-site at the IRAP Europe premises located at Revaler Str. 100, 10245 Berlin.
Vacation Entitlement:
The Operations Support (Mini Job) is entitled to 10 vacation days annually, calculated pro-rata based on a 2-day workweek. Vacation requests should be coordinated with the supervisor to ensure smooth office operations.
Social Security Contributions:
This Mini Job position does not require contributions to long-term care or unemployment insurance. The mini jobber can request exemption from pension insurance contributions, otherwise, a portion of their salary will be deducted for pension contributions. Health insurance is not provided by IRAP Europe; candidates must arrange their own coverage through family insurance, student insurance, or by securing private health insurance and covering the necessary contributions.
