· Handles all incoming and outgoing shipments (inspection of artwork, proper packaging, etc…) · Prepares shipping documents (purchase orders/customs papers) for all incoming and outgoing shipments. · Schedules the local and international shipments · Assist in preparation of the operations department weekly agenda and coordinates with sales and operations staff for the following week’s deliveries. · Provides sales associate with shipping quotes · Ensures that all artwork leaving the gallery has been paid for in full. · Prepares Purchase orders for all framing and packaging material · Maintains inventory (in house and external warehouses) and conduct physical counts with the assistance of the registrar department. · Maintains the delivery van agenda (with coordination of sales associates) · Schedules the delivery vans service appointments · Assists in mounting in-house exhibitions · Occasionally, assists sales associates with installations at clients’ homes. · Maintains physical space and general housekeeping · Assists in day-to-day administrative duties (Answering phone, mailing, etc…) · Supervises contractual maintenance labour. Requirements: · Fluently Bilingual (French/English) · Excellent communication skills (oral /written) · Excellent interpersonal, administrative and organizational skills – recall memory is a must! · Strong leadership skills and ability to delegate · Ability to work collectively and independently · Excellent knowledge of Microsoft Office (Word, Excel, Outlook) · Physically able for the manipulation and installations of artwork · Background in contemporary art is an asset · Valid driver’s license is an asset · Knowledge of “Art Logic” is an asset · Presentable, Customer oriented Télétravail
