Office Administrator

Venor is proud to partner with Encore Properties and Consulting in their search for a remote Office Administrator.
Encore Properties is a full service real estate company. The organization Sells, Buys and trades in real estate. It also does property management and consulting on any real estate transactions. The CEO is a licensed real estate salesperson, so there are many logistics with showing requests, purchase contracts, listing contracts, follow up with past and existing clients.
Reporting to the CEO, the Office Administrator will support the day-to-day operations of the real estate office.
Key Responsibilities:
  • Efficiently manage the company’s email inbox, filtering important communications and handling scheduling. Maintain and update the calendars of key personnel, ensuring smooth coordination of meetings and appointments.
  • Organize and schedule meetings with clients, partners, and internal staff. Ensure that meetings are properly set up, and assist with preparation of materials when necessary.
  • Manage recurring company bills and ensure timely payments. Invoice clients for services and track outstanding payments, coordinating with the finance team as needed.
  • Create and schedule posts across the company’s social media platforms. Monitor engagement and help to grow the company’s online presence by interacting with followers and responding to inquiries.
  • Act as the primary point of contact for clients, addressing their requests and ensuring their needs are met in a timely manner. Ensure all communications are personable and professional.
  • Prepare and send packages to clients after sales or services, ensuring all documents and materials are complete and professional.
  • Assist in the preparation of listing agreements and purchase agreements. Help organize property details, photos, and marketing materials for new listings.
  • Organize the placement of signage on new properties and manage the removal of signs from properties after sales are completed.
  • Book flights, hotels, and transportation for staff traveling for business purposes.
  • Be personable, approachable, and outgoing in dealing with clients, ensuring a high level of satisfaction and positive interactions.
As the ideal candidate, you have post secondary education combined with several years of administrative experience, ideally in Real Estate. You bring a high degree of professionalism and confidentiality to all interactions. You are proactive in your duties with a service orientation mindset. You must have a vehicle and the ability to travel throughout the Greater Moncton and surrounding areas. You will be bilingual in French and English. You will have strong organizational, planning and project management skills, including demonstrated ability to manage multiple complex tasks and projects concurrently. You have experience managing and navigating through change, taking initiative to work through the unknown, and leveraging your skills to ‘figure things out’. You have excellent judgment and a high degree of interpersonal effectiveness with the ability to work with stakeholders across various levels, internally and externally.
