Law Firm Administrator

We’re looking for an experienced Law Firm Administrator to join our Kidston team. This is a full-time position to join our growing team. The Law firm Administrator oversees payroll processes, ensuring compliance with legal regulations and accurate record-keeping. Responsibilities include Full cycle accounting, tax reporting, Payroll processes, Benefits administration, liaison with offsite IT contractor and Financial Reporting. Candidates should have a Bachelor's degree, payroll experience, knowledge of relevant laws, and strong communication skills.

THE OPPORTUNITY:
  • Payroll Processing: Oversee and manage the entire payroll process, ensuring accuracy and compliance with legal requirements.
  • Full Cycle Accounting: Bank Reconciliations, Credit Card Reconciliations, Employee Expenses
  • File Closing: Legal files being closed and tracked on a regular basis.
  • Legal Compliance: Stay updated on relevant laws and regulations pertaining to payroll, including tax laws, labor laws, and employment regulations, and ensure adherence to these regulations in all payroll activities.
  • Records Maintenance: Maintain accurate payroll records and employee data, ensuring confidentiality and security. Following up on cheques and stale date cheques.
  • Trust Account: Ensure trust accounting is within accordance to LSBC rules and regulations
  • Financial Reporting: Partnership
  • Tax Reporting: Prepare and file payroll-related tax returns accurately and on time, including withholding taxes, statutory deductions, corporate tax, PST remittance, GST, WCB, Trust, and remittances.
  • Supervision of Accounts Payable: Oversee AP/AR processes and that their work is free or errors. Act as subject matter expert for AP/AR department.
  • Year End: Completion of the accounting period when Kidston Helm Ross closes their accounts for a financial year for our accountant to review and prepare.
  • Benefits Administration: Administer employee benefits programs related to payroll, such as health insurance, subscriptions and memberships and other fringe benefits.
  • Auditing: Conduct regular audits of payroll records and processes to ensure accuracy, compliance, and integrity.
  • Problem Resolution: Address any payroll-related issues or discrepancies promptly and effectively, collaborating with relevant stakeholders such as HR and Managing Partner.
  • Communication: Communicate payroll policies, procedures, and changes effectively to employees and management, ensuring understanding and compliance.
  • Vendor Management: Liaise with payroll service providers, software vendors, and other external partners to ensure smooth payroll operations. Enrollment and renewal of subscriptions with vendors including Leap, Copitrack, CBA, Lexis Nexis, BCLMA, Gold Business Technologies, BC Online, BC Registries, LTSA, Econveyance.
  • HR: Coverage person for HR Advisor(2 days per week and vacation coverage)
THE EXPERIENCE YOU BRING:
  • Bachelor's degree in accounting, finance, business administration, or related field.
  • Experience in organization and management of business is helpful.
  • Certified Payroll Professional (CPP) designation preferred.
  • Previous experience in payroll processing and management, preferably in a legal or regulated industry.
  • In-depth knowledge of payroll laws, regulations, and best practices.
  • Strong analytical and problem-solving skills, with keen attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in payroll software and Microsoft Excel.
  • Proficiency in Leap
  • Ability to handle confidential information with discretion and integrity.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Treasury Experience
WORK ARRANGMENT:
  • Initial Phase: The first year of employment will be on-site at our Vernon firm. This period is designed to provide thorough training, enable team integration, and ensure a comprehensive understanding of your role and our organizational culture.
  • Hybrid Transition: Upon successful completion of the initial one year period, the role will transition to a hybrid model, allowing for a flexible combination of remote and on-site work. This model will typically include [e.g., 3 days on-site and 2 days remote, or other specific arrangement].

  • In person or remote 60-minute video interview with Laurel Swan (she/her), HR Advisor, Bev Zoorkan (she/her) Law Firm Administrator, and Robert Ross (he/him), Managing Partner.
  • Conduct reference and security checks.
  • Offer.
Salary Range: $75,000-100,000
Start Date: Flexible
