  • Managing the effective collection, entry and organization of candidate registration ensuring a system of accuracy.
  • Maintain accurate candidate records manually and on software
  • Review candidate records for upcoming tests to confirm accuracy of records
  • Compile and collect information from candidate and compose correspondence
  • Work with the IELTS software system to manage test candidates and test information
  • Resolve errors in data entry and communicate with candidate when information needs clarification
  • Assist the Language Services Centre Manager in preparing reports for the centre demonstrating that the centre is following procedural guidelines and rules.
  • Promote good relations with candidates, agencies and general public.
  • Working with staff, agencies and public by answering inquiries in person, by email and phone
  • Distribute an information sheet regarding test information on a regular basis
  • Anticipate problems and resolves issues from the general public and potential candidates
  • Communicating with potential external bodies regarding making contracts with the centre in terms of private testing and block testing. After contracts are made, arrange to have the contract move forward.
  • Developing and maintaining an effective system of fi les and records.
  • Creating a manual as well as computerized fi ling system as well as maintaining this system.
  • Implements and documents new and revised procedures
  • Contributes to the maintenance and updating of procedure manuals or office operation manuals
  • Following the rules and procedures of the test centre as well as making sure that other employees in the centre are doing the same.
  • Handling cash/debit credit transactions involved in mailed and in person applications. Closing the debit credit machine and calculating that the right amounts are being handed over to accounts receivable after every batch closed.
  • Record and receipt all payments in person for tests, books, test day transfers and additional test results.
  • Balance and reconcile cash and any funds that are given to the accounts payable so that it will be paid to the correct ORGcode and that reports can be created with accurate information.
  • All payments must be balanced, and any overages/shortages much investigated /resolved.
  • Maintain an excel document of the amounts received and sent to accounts receivable.
  • Reviewing applications for refunds and sending them to the supervisor for approval before forwarding to the dean.
  • Handle cash and cash flow. Lock up cash at the end of each day. Maintain the security around the cash and sign in and sign out the cash boxes needed. Otherwise, it is to be locked up securely.
  • Compile financial information for the Language Services Centre Manager to prepare reports and assist with preparing reports as required.
  • Assist the Language Services Centre Manager with monthly and yearly financials as well as the budget
  • Help with the arrangements involved in the contracts that are made with the centre and any internal/external bodies, including but not limited to block testing agreements. Assist the Language Services Centre Manager with the contracts and procedures so that full compliance is in effect.
  • Ensuring each exam is received, dated, recorded, scheduled and filed for reference in cabinets.
  • Make sure that supplies are ordered and that accounts are up to date
  • Upon completion of exam ensure exam is fi led and secured.
  • Supervise student conduct and ensure testing policies and procedures are followed.
  • Reading and understanding all exam instructions
  • Maintain a suitable testing environment by providing a calm and relaxed atmosphere while at the same time enforcing rules. Noise and other distractions must be kept at a minimum.
  • Maintain exam security before, during and after the exam.

QUALIFICATIONS, SKILLS, ABILITIES AND EXPERIENCE

Required Qualifications, Skills and Abilities (QSA)
1. Complete Grade 12 plus a recognized secretarial diploma or an equivalent combination of training and experience.
2. Training and/or experience at the intermediate level in the use of common software packages, i.e. MS Office Suite.
3. Minimum one year recent and relevant experience performing administrative and clerical work.
4. Time management skills and ability to establish work flow priorities.
5. Independent problem solving skills and ability to multi-task.
6. Effective communication.
7. Effective interpersonal skills.
8. Effective organizational and data entry skills.
