The Executive Assistant will be responsible for managing the owner’s calendar, communications, travel logistics, and administrative taskswhile maintaining a high degree of confidentiality. In addition, you will work closely with external stakeholders, includingvendors, clients, and partners, and assist in the preparation of reports, presentations, and sales-related tasks to support business growth. Key Responsibilities:

Comprehensive Calendar Management:Oversee and maintain the owner’s schedule, coordinating meetings, appointments, and travel arrangements across multiple locations.

Travel Coordination:Organize and manage frequent travel, including booking flights, accommodations, and transportation to ensure smooth logistics between locations.

Communication Management:Handle all correspondence, including emails and phone calls, on behalf of the owner, ensuring timely follow-ups and responses to key stakeholders.

Record-Keeping & Meeting Support:Maintain accurate electronic and paper records, prepare reports, and distribute meeting minutes. Support in setting meeting agendas and tracking key action items.

Report & Presentation Preparation:Collect, organize, and analyze data to prepare detailed reports for the owner. Assist in creating professional presentations for internal meetings, client updates, and strategic initiatives. Ensure all materials are accurate, clear, and aligned with business objectives.

Sales Support:Take a proactive approach in supporting the owner with business development and sales initiatives. Assist in identifying new opportunities, tracking leads, and following up with potential clients. You will also play a role inpreparing sales materials, proposals, and presentations to help drive business growth.

Representation:Serve as the owner’s representative with vendors, clients, and external partners, maintaining a high level of professionalism and ensuring all interactions align with the company’s values.
