Project Administrator

About the Role
An opportunity has become available for a motivated Project Administrator to join our team. Based in our Brisbane office, this position is responsible for the liaison, coordination and undertaking of all project invoicing activities, debtor management, WIP management, forecasting, and any other associated tasks. The role works closely with managers to ensure project and business efficiency integral to the timely and quality delivery of our client service.
Key Responsibility
  • Preparation of client invoices.
  • Monthly invoice investigations including follow-up of project managers and clients, adjustments, amendments, expenses & cancellations.
  • Debtor management – working in collaboration /conjunction with the managers to manage and administrate all project debts within the role’s geographic remit and in line with the debtor policy.
  • Work in Progress (WIP) management – working in collaboration with the managers to continuously improve the level of held WIP and work towards minimal write off
  • Forecasting – working in collaboration with managers work to ensure that all projects within the role’s geographic remit are forecast and updated weekly.
  • Deliverables management – working in collaboration with the GM and PM’s to ensure all project staff are aware and working to project deliverables milestones.
  • Debt collection in conjunction with project managers, including escalation in accordance with company policy.
Required Experience
  • 5+ years’ experience in a similar role.
  • Qualifications in Administration or Project Management preferred.
  • Strong proficiency in MS Office Suite packages.
  • Strong project and time management, organisation and planning skills.
  • Demonstrated ability to multi-task, plan, meet deadlines and achieve set objectives.
  • Proficient in the use of MS Office Suite and other applicable software packages.
  • Excellent verbal and written communication skills.
  • High attention to detail.
  • Ability to build and maintain rapport with both internal and external stakeholders.
  • Previous project management experience would be advantageous.
  • Ability to work autonomously and in a team [both with your local team and teams in across the Premise network].
  • Strong people skills and ability to partner with a dynamic team.
  • Flexible and works well in a fast-moving environment, driving clarity and solutions.
