Administration Officer

3DS Group is seeking an experienced part-time receptionist and admin assistant to join our team. Initially the Job would include a mix of Administration, PA Duties and Planning Duties, but there is a very quick pathway to Office Manager and Estimation/Quotation Roles for motivated Individuals.
Initially the role would be 3 days per week, 9am to 3pm, but we would be looking to step this into a full-time role as quickly as the person could learn our systems and take on more responsibility.
A successful candidate will be the first point of contact when clients enter the office. They will need to have a confident and professional welcoming manner, be quick to learn, have a positive can-do attitude and the ability to adapt to various situations while working with a variety of people.
Elements of this job include inclusion on the estimation side, resource planning as well as taking on some general PA duties for the company’s Director.
If the successful candidate is open to taking a more forward role in estimation and overall office management, there is opportunity to increase contact hours quickly.
What are we looking for?
  • Previous experience working within an administration or PA role;
  • Excellent communication skills;
  • Highly organized and ability manage changing workloads;
  • Confident user of Microsoft Office including; Word, Excel, Power Point, outlook & Teams;
  • Confident in basic booking keeping, account reconciliation & the Xero platform (or similar) would be highly sought after
  • Ability to build relationships and work with people at all levels.

What would be your key responsibilities?
  • Reception/Welcome Duties
  • Data entry, scanning and uploading of documents, archiving, maintain yearly calendar;
  • Day to day errands for the team including some inclusion in closing out project work
  • Drawing Mark up and data entry
  • Answering Phones as transferring calls
  • Assistance in Preparing Quotes, Invoicing
  • Assist with making resource and task bookings
  • Raising purchase orders and payment of invoices through xero system, Bills and credit card reconciliation.
  • Would be looking to build this role into a role more focused on learning estimation and taking over general office management.

Job Types: Full-time, Part-time, Permanent
Pay: $64,000.00 – $70,000.00 per year
