GENERAL STATEMENT OF DUTIES: Campus Events fosters a positive image of Framingham State University among current and prospective students, alumni, donors, parents, faculty and staff, business and political leaders, and the Metrowest community. The main role of the Reservations Office Assistant is to support general office operations for Campus Events-related functions, including overseeing the reservations office, supervising student staff, detailing event reservations, and working with outside rental groups. SUPERVISION RECEIVED: Director of Campus Events SUPERVISION EXERCISED: May supervise student employees EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES:
Support general office operations and provide customer service with a knowledge of the basic responsibilities of each sub-team.
Provide phone coverage, send and receive emails, and schedule meetings.
As a member of the Campus Events team, share in office coverage responsibilities.
Use 25Live to review, edit, detail, and share event information.
Serve as point of contact for campus wide events including, but not limited to, Orientation, Accepted Students Weekend, Homecoming Family Weekend, etc.
Work with outside rental groups to create contracts and pricing sheets, reserve space, and be on site as needed.
Support student staff training, scheduling, and supervision.
Check on events and provide occasional onsite event support.
Occasionally assist with event set ups and breakdowns and check on events to ensure that it meets the needs of the client.
Work with other staff to resolve issues or questions that arise quickly and efficiently.
Other related duties as assigned.
WORKING CONDITIONS: Work primarily occurs in a typical office space with regular use of phone and computer workstation. Position supports events on campus which may require presence in various campus locations, moving across campus and between multiple spaces, standing, sitting, and lifting/moving up to 25 pounds. Where assigned responsibilities and events fall outside of regularly scheduled working hours, overtime and/or compensatory time is available consistent with the collective bargaining agreement. MINIMUM QUALIFICATIONS:
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below. Substitutions: I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.* II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

This is a full-time, non-exempt, benefits-eligible position in the American Federation of State, County, and Municipal Employees (AFSCME) bargaining unit with a union title of Administrative Assistant I. The bi-weekly pay rate is $1969.30 (grade 15, step 1). The position is eligible for overtime and/or compensatory time.
