STATEMENT OF DUTIES

Summary of Job Classification:
Performs duties of a judicial clerk plus daily oversight and direction of newer staff, performs case management for more complex cases/situations or for a specialized area, independently conducts special projects, provides advanced courtroom and Judicial Officer support and similar duties requiring related experience and/or specialized knowledge.

ESSENTIAL FUNCTIONS

To perform this job successfully, an individual must be able to perform assigned essential functions listed below satisfactorily. Provides high-level case management, customer service, and judicial officer support for clients, officers, and other judicial staff over the counter, in the courtroom, and via phone and email. Instructs customers on case types and procedures. Shares applicable information for law enforcement, attorneys, correctional officials, and other outside agencies.
Researches and resolves complex case-related questions and issues for court staff.
Contributes to cross-functional tasks as assigned and/or as coverage requires. Monitors and evaluates influx, backload, and priority of work including, redirecting staff, redistributing work, and/or providing support as needed to meet the unit’s objectives and deadlines.
Serves as a primary point of contact for other units, internal departments, and external agencies. Responds to inquiries, provides information, and resolves or escalates reported issues.
Maintains unit or division calendars, schedules court dates, and sets internal reviews to ensure timely case flow and processing. Analyzes case docket management practices and recommends revisions for efficiency. Prepares, publishes, and distributes daily court dockets.
Performs administrative tasks in support of court staff, including processing and distributing incoming and outgoing mail and assisting with timesheets and leave requests.
Researches, troubleshoots, and resolves technical issues, reporting or escalating to supervisor as needed.
Develops and implements processes and procedures in response to new legislation and/or changes in local practices. Reviews updates to best business practices and state-approved forms, disseminates information, and conforms unit practices as required. Creates and maintains unit resources such as manuals, written processes, procedures, cheat sheets, checklists, contact lists, and shared spreadsheets and templates.
Collaborates with supervisor to develop, implement, and monitor training plans for newly hired staff. Mentors junior employees. Leads training for peers and new employees. Participates in cross-training to assist courtrooms and dockets across the district.
Monitors and maintains the quality of the work product. Identifies and assesses training needs and provides technical correction and instruction to the unit as needed.
Works closely with supervisors to coordinate and facilitate monthly unit meetings collecting agenda items, distributing agendas, and publishing minutes. Attends and participates in various other meetings, committees, and work groups as assigned.
Performs other duties as assigned.

ESSENTIAL FUNCTIONS CONT.

Supervisor Responsibilities:
Work requires managing and monitoring work performance by directing multiple groups of employees across more than one business function within an organization unit (i.e. benefits), including making final decisions on hiring and disciplinary actions, evaluating program/work objectives and effectiveness, and realigning work and staffing assignments, as needed. The work performed by majority of employees is complex.

Work may require providing advice to others outside direct reporting relationships on specific problems or general policies. Contacts may require the consideration of different points of view to reach agreement. Elements of persuasion may be necessary to gain cooperation and acceptance of ideas. Interactions have significant impact.

Employee normally perform assignments after receiving general instructions as to methods, procedures, and desired end results. There is some opportunity for discretion when making selections among a few, easily identifiable choices. The assignment is usually reviewed upon completion. Impact of actions are significant.

Fiscal Responsibility:
May be responsible for the billing, collection and/or accounting of funds. May be responsible for the handling and balancing of cash.


MINIMUM QUALIFICATIONS

Education and Experience Equivalency:
High school diploma or G.E.D.

OR
Additional relevant work experience may be substituted on a year for year basis for the required formal education.
Work Related Experience:
Minimum three (3) years of experience in a trial court, clerk office, or related administrative field.

Licenses and Certifications:
None.

Physical Effort Requirements:
Sedentary Work - Exerting up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally.

Work Environment:
Good - Relatively free from unpleasant environmental conditions and/or hazards.

Work Location:
Office or similar indoor environment.

Exposures:
Individuals with known violent backgrounds; individuals who are hostile or irate; communicable diseases.
