JOB DESCRIPTION: Endoscopy Receptionist REPORTS TO: Endoscopy Directors DEFINITION OF POSITION: The Endoscopy Receptionist is responsible for efficient functioning of front office, i.e., scheduling procedures, maintaining patient charts, handling physician correspondence from referring physicians, preauthorizing procedures to be performed, verification of benefits, communicates with the billing staff regarding patients and down payments, and other duties as directed by the Endoscopy Directors. Handles and routes multiple calls through a digital telephone console. He/she is also responsible for the management of patient flow. Strong customer skills are critical. Boise, Meridian, and Nampa Endoscopy Centers are committed to the attainment and maintenance of an ergonomically healthy workplace to protect all employees. Safe working conditions are a top priority. Our goal, through the support of physicians, administration, and staff, is to create a culture of ergonomic safety. Staff are encouraged to ask for assistance when moving heavy items to prevent musculoskeletal injuries. All concerns from staff are to be forwarded to the Endoscopy Director or HR (Human Resources) to facilitate correction of any scenario where staff feel a risk may occur. Adequate lighting should be maintained, assistance will be made available for lifting or turning patients and workstations will be equipped for ergonomic safety. Staff are encouraged to wear nonskid footwear, remove, or eliminate all clutter, cabinet doors should remain closed, spills will be wiped up immediately, cables will be kept out of traffic flow areas. RESPONSIBILITIES: 1. Ensure the waiting area is clean and neat for incoming patients. 2. Print full Physician schedules for procedure rooms and endoscopy schedules for Nursing and Scope Tech. 3. Greet patients in a friendly manner. 4. Scan all insurance cards and Driver’s License if needed. 5. Verify Driver information is correct. 6. Print wristband. 7. Have patient review procedure consent. 8. Assists Billing: Obtain payment from patient showing a past due amount Obtain co-pay / down payment from appropriate patients 9. Place chart for Nursing to pick up 10. Place a green ‘No Information’ card in front of chart if patient denies driver from hearing discharge instructions. 11. Maintains Medical Records per Medical Record Policy 12. Answer and direct phone calls: Assists with patient calls regarding post endoscopy follow-up; directs questions to Nursing. 13. Helps clinical reception retrieve and route after hours answering service messages. 14. Communicates same day schedule changes to Endoscopy Director, Charge nurse, Room nurse, Scope tech and Physician. 15. Update patient information in electronic chart including pharmacy and patient’s physicians, etc. 16. Answers questions and gives information directly or on the telephone within the scope of knowledge. 17. Confirms appointments, as necessary, giving routine nonmedical instructions in preparation for the patient’s procedure. 18. Demonstrates ability to operate and maintain copy machine, fax machine, postal meter, and computer. 19. Sorts and distributes mail. 20. Reassures patient’s family who are waiting regarding patient status. 21. Assists in keeping staff lounge neat. 22. Participates in Safety Program and QA Program as directed. 23. Assists Endoscopy Directors with all administrative tasks. 24. Utilizes Microsoft Outlook email for non-patient correspondence. 25. Demonstrates respect for IGA (Idaho Gastroenterology Associates) policies for security, privacy and confidentiality while using IGA equipment. Follows personnel policies contained within the IGA personnel manual. 26. Immediately reports any hardware or software malfunction to the Director of IT, Endoscopy Directors, or management. 27. Communicates pertinent information to others. 28. Performs other duties as assigned. QUALIFICATIONS: High school graduate preferred. Able to read, write, communicate, and present a neat professional appearance. Create a good impression as a friendly, empathetic, composed, and efficient individual as this position has the first contact, phone or face-to-face, with the patient. Demonstrate reliability, a pleasant attitude, and a willingness to perform duties as required. Demonstrate effective communication with physicians and co-workers. Able to maintain and comply with patient confidentiality and integrity policy on all matters.
