A Hotel Management Company in Lake Oswego, Oregon has an opening for a position in the Accounts Payable department as a Specialist/Administrative Assistant. This is a full- time position following an 60 day introductory period. Normal working hours are 8:00 am to 4:30 pm Monday - Friday. The successful applicant will be professional, organized and have some previous A/P and administrative duties experience. In addition to proficiency in Excel, Outlook and any accounting software (Peachtree, Sage, Quick Books, etc.) This position requires self-motivation and attention to detail. Candidate should have the ability to learn quickly and have excellent communication skills, both verbal (over the phone) and written (through e-mail.) The candidate will be handling accounts payable duties and support the accounts payable team in daily accounting functions. Only applicants that meet the basic qualifications will be reviewed. Job Duties: Responsible for basic accounting: to include accounts payable, monthly reconciliation, and invoicing; answering phones with administrative duties as necessary/needed. Essential Job Duties: · Responsible for all phases of accounts payable including but not limited to; maintaining vendor information, coding invoices, entering invoices into computer, scanning invoices, distribution of invoice approvals. · Enter equipment usage off daily reports into computer for tracking purposes. · General office duties including answering phones in a professional manner, helping with mailings, help process credit applications, forward electronic faxes to appropriate individuals on a timely basis. · Responsible for accounts payable for operations, contractors, vendors, and other invoices. Investigate and resolve account discrepancies. · Maintain billing information spreadsheets and databases. · Have proven organizational skills, be detail oriented and be a team player. · Possess excellent communication (oral & written) · Other duties as needed and assigned Administrative Duties · Greet Clients, Answer Phones & sign for deliveries. · Collect, open and distribute mail · Maintain filing system & various Logs e.g. outgoing mail; insurance certificates. · Provides office support for management, clients and employees. · Answer, screen, and route client, employee and vendor inquiries. · Provide backup support for Accounts team. · Assist on other projects, as the need arises Qualifications: · Experience in accounting, especially Accounts Payable is required & Administrative Duties are essential. · Strong attention to details is a necessity. · An above average understanding of Microsoft Excel & Outlook. · Ability to work on several projects concurrently. · Ability to work concurrently or as part of a team. · A Positive "Can Do" Attitude This is a full time position (40 Hours); work schedule is M-F 8:00 am to 4:30 pm.
