Job Title: Accounts Payable Administrative Assistant

POSITION SUMMARY:
The Accounts Payable (AP) Administrative Assistant supports our AP department in maintaining accurate and efficient AP processes. This position will assist within all areas of AP, including scanning invoices into the web-based application and validating that the information is accurate, updating vendor accounts, inputting data into our fleet maintenance program, preparing and distributing mail, and maintaining the AP inbox.

ESSENTIAL DUTIES & RESPONSIBILITIES:
- Process vendor invoices through a web-based application.
- Maintain vendor records.
- Review and research vendor statements.
- Input data into our fleet maintenance program.
- Prepare and distribute mail.
- Maintain the AP inbox.
- Perform other clerical and administrative duties as assigned by the AP Manager.
REQUIRED SKILLS:
- Proficiency in Microsoft Office Suite. Intermediate Excel skills required.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with integrity.
- Basic understanding of accounting principles is a plus.
- Professional demeanor in representing the organization, and generally be friendly and confident.
- Strong multitasking skills, including the ability to re-prioritize tasks throughout the day based on changing needs and directions.
- Adjusted typing speed of minimum 60WPM.
REQUIRED EDUCATION & EXPERIENCE:
- High school diploma or General Education Degree (GED).
- At least 2 years of general administrative experience.
- AP experience is preferred, but not required.
- Any combination of education, training, or experience that demonstrates the ability to perform the duties of the position will be accepted in place of the education and/or experience requirements listed for this role.
PHYSICAL DEMANDS:
- Regularly required to see, talk, and hear. Specific vision abilities required by this job include close vision, the ability to adjust focus, and peripheral vision.
- Ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.
WORK ENVIRONMENT:
- The noise level in the work environment is generally quiet.
- This position operates in a professional office environment.
- This position routinely uses standard office equipment such as laptop computers, photocopiers, and smartphones.

- Provide assistance to reduce or eliminate workplace hazards.

- Comply with company Personal Protective Equipment (PPE) policies. Ore Pac will provide required PPE to employees.
