The WHO Foundation (WHOF), launched in May 2020 and headquartered in Geneva, was created as an independent Swiss foundation affiliated with but independent of WHO. Its mission is to mobilize greater private capital and partnership to advance the mission of the World Health Organization (WHO), enabling catalytic impact on the people whose lives rely on WHO’s work and facilitating innovation to maximize the impact of the resources we invest.
WHO plays a singular role in leading the global health ecosystem, acting as a first-responder to health crises — including the current conflict in Ukraine and on behalf of the 15+ million people in urgent need of aid in Horn of Africa; producing technical guidelines and tools to prevent and treat disease; and acting as a country-level convener with an unparalleled level of trust. The crises of the 21st century, including COVID-19, have made clear both the inequity of access to effective and affordable healthcare and the indispensable role of WHO. Yet WHO lacks sufficient resources to fulfill its mandate. And, beyond funding, its vision cannot be achieved by the public sector alone.
The WHO Foundation was therefore created as an independent Swiss foundation affiliated with but independent of WHO to marshal new resources from philanthropists, foundations, businesses, and individuals to support its mission: promote health, keep the world safe, and serve the vulnerable, while protecting the neutrality and independence of WHO as the world’s leading health authority. WHOF is a nexus for unique opportunities in global health, facilitating game-changing opportunities between the private sector and WHO. Our focus is on mobilizing grant income, shared value partnerships, and investment to power WHO’s work.
PURPOSE
The Event Coordinator will oversee and organize strategic events to advance the stewardship team's goals at the WHO Foundation. This position demands strong project management abilities and careful attention to logistical details, strategic content, follow up with partners post events to ensure events are successfully executed and create leverage with the foundation’s partners and partners to be. Beyond managing ongoing projects, the role will involve identifying and researching new events to enrich our portfolio and support our ongoing cultivation, lead generation and stewardship needs.
REPORTS TO
The Event Coordinator will report directly to the Director of Stewardship at the WHO Foundation.
ACCOUNTABILITIES & FUNCTIONAL RESPONSIBILITIES
1- Event Planning and Execution:

Assist in planning and executing various events to support fundraising and donor stewardship efforts.

Coordinate with internal stakeholders and external vendors to ensure seamless event logistics.

Develop event timelines, budgets, and resource requirements.

Oversee event setup, operations, and post-event evaluations.

Identify new event opportunities not currently in the team’s pipeline and design strategies for participation.

Define event KPIs and put together thorough reports to measure event success against them.

Liaise with salesforce teams to ensure result and follow up tracking is clear to monitor event return on investment and success rates
2- Project Management:

Develop event concept notes, set objectives, research speakers, and engage with stakeholders to co-create and design event concepts .

Manage paperwork, budgets, payments for event implementation purposes.

Use project management tools to plan and execute events from start to finish.

Create detailed project plans, including schedules, task assignments, and resource allocations.

Coordinate regular update and taskforce meetings throughout the roll out of events

Document learnings, best practices and event reports

Assess return on investment of events and make recommendations accordingly

Prepare briefing notes and packs to the foundation’s senior leadership team on guests profiles, prospects and donors
3- Stakeholder Engagement:

Collaborate with internal teams, including fundraising, communications, strategy and impact to align event strategies with organizational goals.

Engage with external partners, sponsors, and vendors to negotiate contracts and secure services.

Liaise with respective partners team related to events
PROFILE
-
Degree in Event Management, Hospitality, Marketing, Business Administration, or a related field.

Proven experience (3-5 years) in event coordination and project management, preferably within a non-profit or international organization.

Familiarity with the non profit sector, account management, fundraising and partnership development

Strong organizational and multitasking skills with attention to detail.

Proficiency in project management software and tools (e.g., Asana, Trello, Microsoft Project).

Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams and stakeholders.

Ability to work under pressure and adapt to changing priorities and circumstances.
