The Plant Administrator delivers clerical and administrative support to the solar plant staff. This role involves coordinating and implementing office and plant procedures and managing specific projects and tasks.
The Plant Administrator reports directly to the Plant Manager
Key Responsibilities:
Reception:
- Manage and route calls from security regarding visitor arrivals at the gate.
- Greet all visitors, assist as needed, and inform relevant staff members.
- Handle and resolve visitor queries.
- Receive, distribute, and manage incoming mail and parcels.
- Receive and prepare outgoing courier packages.
- Oversee boardroom bookings and assist with meeting catering.
- Ensure the reception area and staff facilities remain clean and orderly, including overseeing cleaning staff.
- Secure administrative and reception areas by locking doors at the end of the day.
Procurement:
- Handle procurement tasks including obtaining quotes, processing invoices, generating purchase orders, and managing payments.
- Collect and forward invoices to the finance department for processing.
- Compile and place weekly office supply orders, maintaining stock levels in the reception stock room.
- Create Purchase Requisitions on the PMR system and receipt all incoming orders.
- Address and resolve suppliers’ queries and financial reconciling of outstanding accounts.
Operational and HSE:
- Schedule medical appointments for employees as required.
People Management:
- Compile and prepare monthly timesheets for submission to the HR department.
- Coordinate training activities for staff.
General Office Administration:
- Assist with drafting letters, reports, and presentations; manage filing tasks.
- Support project teams with administrative and organizational duties, including warehouse functions such as receiving goods and system entry.
- Participate in bi-annual stock takes.
- Arrange meetings, take meeting minutes, and assist with administrative overflow and special projects from other departments.
- Plan and manage employee wellness events, work functions, and other related activities.
- Oversee petty cash flow and key control.
- Assist with ad hoc requests and projects as required by the company.
- Ensure timely ordering of stationery and office supplies.
Required Skills and Competencies
Competencies:
- Strong organizational skills with the ability to prioritize and handle multiple assignments.
- Excellent verbal and written communication skills in English; Afrikaans is a plus.
- Detail-oriented with strong problem-solving capabilities.
- Ability to perform well and remain composed under pressure.
- Excellent team player with strong interpersonal skills.
Experience, Knowledge & Qualifications:
- Certificate in Business Administration or equivalent preferred.
- Proficiency in MS Office packages with high competency in Excel and Word.
- Valid driver’s license (Code 8/EB).
- Minimum of four years’ experience in industrial or operational administration.
- Experience in a diverse office environment is advantageous.
