Sales Operations Specialist

Position Overview:
We are looking for a highly organized and detail-oriented Sales Operations Specialist to join our dynamic Sales & Solutions team. This role is essential in ensuring the seamless execution of sales processes, from initial tender preparation to project delivery. You will be supporting a team of sales professionals, facilitating daily operations, managing customer inquiries, and liaising with both internal and external stakeholders to ensure the success of our sales and project functions.
Key Responsibilities:
Tender and Sales Support:
  • Tender Management: Monitor multiple portals daily for new tender opportunities, distribute relevant opportunities to the sales team, and assist in the preparation and submission of tender documents.
  • Sales Pipeline: Assist in maintaining the sales pipeline and generating reports on sales activities to support strategic decision-making.
  • Documentation: Prepare and manage all necessary documents during the transition from sales to project execution, ensuring that both internal teams and customers have the required information.
Order Processing and Logistics:
  • Customer & Supplier Coordination: Liaise with customers and forwarders to coordinate the pickup and delivery of goods, ensuring smooth local and international delivery logistics.
  • Purchase Order Management: Generate job numbers (trading/project), create purchase requisitions (PR), and process purchase orders (PO) for suppliers through the internal system.
  • Billing & Finance: Ensure all required documents are submitted to the finance team for monthly billing and payment processing, and assist in preparing documents for project-related claims.
Administrative Support:
  • License & Compliance Management: Monitor company license expiry dates and assist with renewals to ensure compliance with regulatory requirements.
  • Ad-Hoc Duties: Provide administrative support for the sales and presales teams as required, assisting with general office duties and special projects.
Requirements:
  • Education: Diploma in any field is required. Candidates with lower qualifications but longer years of relevant experience will also be considered.
  • Experience:
    • 3-5 years of proven experience in administrative or sales support roles, with a focus on sales operations or tender management.
    • Experience with CRM systems, order processing, and logistics management.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent verbal and written communication skills, with the ability to interact professionally with clients and vendors.
    • Proficient in Microsoft Office Suite (Word, Excel, Power Point) and experience with ERP or CRM systems.
    • Ability to work in a fast-paced environment, managing multiple priorities with attention to detail.
    • Team-oriented mindset, with the ability to collaborate effectively with cross-functional teams.
