Job Description: We are seeking an experienced Administrative Assistant with expertise in HR and logistics to manage day-to-day administrative tasks and ensure smooth operations across various departments. The ideal candidate will maintain internal systems, handle HR-related duties, and coordinate logistics for incoming shipments. Key Responsibilities:
Manage phone calls, emails, and general communications in a professional manner.
Greet and assist visitors, creating a welcoming office environment.
Take detailed meeting minutes, distribute them, and track follow-up actions.
Oversee employee records, attendance, and updates to employee files.
Coordinate with the Accountant for payroll processing and related employee matters.
Ensure confidentiality and security of company information and records.
Prepare and submit regular reports, documents, and presentations as required.
Maintain and organize filing systems for employee records, contracts, and company documents.
Track and manage inventory, ensuring accurate record-keeping of assets.
Liaise with shipping companies to obtain quotes for incoming shipments and manage all related paperwork, ensuring compliance with customs and government regulations.
Monitor and track shipments, ensuring timely delivery.
Work closely with external suppliers, shipping companies, and government agencies to handle logistics and ensure efficient operations.
Manage office supplies, order as needed, and source new suppliers to optimize costs.
Schedule appointments, manage calendars, and prevent scheduling conflicts.
Organize travel arrangements, including flights, accommodations, and transport.
Provide administrative support to the Managing Director, Sales Manager, and Business Development Managers as required.
Qualifications: Education:
Bachelor’s degree in Business Administration, Human Resources, or a related field (Required).
Experience:
Minimum 3 years of experience in administrative roles, including HR and logistics duties (Required).
Experience in coordinating with external partners, such as suppliers, shipping companies, and government entities.
Familiarity with the medical sales or device industry is an advantage.
Skills:
Strong organizational skills with attention to detail and the ability to prioritize multiple tasks.
Excellent communication skills, both verbal and written, in English.
Proficiency in Microsoft Office Suite (Word, Excel, Power Point).
Ability to handle sensitive and confidential information with discretion.
Strong interpersonal skills and the ability to work well within a team.
License/Certification:
Qatar Driving License (Preferred).
Qatar ID (Preferred).
Additional Information:
Work Hours: 8:00 AM to 6:00 PM, Sundays to Thursdays.
Commute/Relocation: Applicants must be able to reliably commute or plan to relocate to Doha before starting work.
