Responsible for secretarial duties for the Head of Service as well as administrative management and activity monitoring duties for the service.
Main Missions
1 - Fulfill communication and information processing duties
- Answer the telephone and screen telephone calls
- Manage mail
- Responsible for managing technical documents (transferring documents and reading/writing analysis, filing and updating)
- Draft memos, e-mails, faxes, letters, summary documents
- Participate in meetings on request, take the minutes and distribute them
- Compile tables to monitor activities and indicators
- Perform document filing and archiving duties for the service
- Manage documentation for the service
- Obtain signatures for documents that require approval
- Gather the required information, compile, update and check the tables and matrices for monitoring the service's activities
- Check the accuracy and consistency of the data gathered
- Complete the follow-up and archiving of the various tables and matrices for monitoring activity
- Manage certain files autonomously (e.g. purchasing small equipment, PPE, work clothing, travel management, etc.)
