Be a part of something truly special! Join the pre-opening team of Four Seasons Cabo San Lucas at Cabo Del Sol as Conference Services Coordinator. On the stunning southern coast of Mexico’s Baja peninsula, experience Cabo’s Golden Corridor, ideally located between Cabo San Lucas and San José del Cabo. In the heart of all the action, the coveted community of Cabo Del Sol is home to our modern hacienda-style village, with sparkling ocean views throughout. Create magical memories as hearts beat to the rhythm of Mexican music, art and culture – embraced by the warmth of our Four Seasons “familia.” This ultra-luxury ocean-front resort will include 96 beautifully appointed guestrooms and 61 Residences, Amenities will include three restaurants, five bars, three pools, an open-air fitness center designed by celebrity trainer Harley Pasternak, Spa with ten treatment rooms and relaxation oasis, and The Clubhouse. The Clubhouse is perched above the resort with sweeping Ocean views, and it is being designed as THE place to host spectacular weddings and events for up to 250 people. It will feature and event lawn for ceremonies, an indoor/outdoor ballroom, living room space for entertaining, and a bridal suite.
The role of the Conference Services Coordinator
Will be responsible for coordinating all arrangements regarding the organization of events and assisting the Catering Team with site inspections, proposals and administrative tasks of the department. Other responsibilities include coordinating suppliers, updating Hotel software for S&M department, creating bookings of events, and preparing Banquet Event Orders.
Knowledge and Skills
A minimum of 1 year of luxury hotel sales&catering experience or 2 years of luxury operational hotel experience, the ability to think out of the box and be flexible and adaptable to last minute changes.
You should have proficiency in MS Office, excellent interpersonal, communication and presentation skills, an eye for detail, curiosity, and a creative flair, bringing your personal touch and energy to our Resort
Essential Functions
Provide administrative support & sales coordination to Conference team and perform the duty as in-house sales persons through responding to client’s enquiries, site inspections and administration
· Finalize the requirements of confirmed bookings while maximizing revenue potential through up selling and ensuring effective communication both written (BEO, Daily Reports, etc.) and personal contact with all departments for the success of the event.
· Provide in-house support to Conference persons including handling telephone calls, handling various routine communications functions e.g. distribution of banquet event order, amendment form, group resume, purchase orders, etc.
· Ensure accuracy of Banquet Checks and provide bill review on completion of program or event.
· Search for local and national vendors, with experience and Four Seasons quality, to be able to offer equipment and comprehensive services for events. Negotiation of prices and delivery times. Create a preferred partner vendor network for equipment, decoration, entertainment, and any service or product to improve the events.
· Manage fam trips and small groups, to achieve experience and ability for future promotion.
· Good organizational skills, with the ability to work independently.
· Demonstrate adaptability to live in a remote location.
· Excellent English and Spanish (Preferred) language.
· Ensure satisfaction of client at the outset of all events.
· When dealing with guests and internal customers you live by the Golden Rule.
