Attend all meetings of the Sales Manager and provide general administrative support (taking minutes of meetings and following up with key next steps)
Manage and maintain schedules, including meetings, appointments, and travel arrangements.
Prepare and edit business communications, reports, presentations, and other documents.
Handle incoming and outgoing communications, including phone calls, emails, and mail.
Assist in the preparation and distribution of sales materials and proposals.
Sales Support:
Process sales orders, ensuring accuracy and timely entry into the sales system.
Assist in the preparation of quotes, proposals, and contracts.
Track and monitor sales leads, opportunities, and follow-ups.
Coordinate with the sales team to ensure timely delivery of products and services to clients.
Assist in the preparation of sales reports, forecasts, and performance metrics for review by management.
Maintain and update customer databases and CRM systems.
Client Relations:
Act as a point of contact for customers, addressing inquiries and resolving issues in a timely manner.
Provide support in managing client accounts, ensuring satisfaction and retention.
Assist in coordinating client meetings, events, and surveys.
Other Duties:
Assist in special projects and other tasks as assigned by the Sales Manager or other senior staff.
Continuously seek to improve processes and workflows to enhance efficiency.
Education: High school diploma or equivalent; a degree in business administration or a related field is a plus.
Experience: 2+ years of experience in a secretarial or administrative role, preferably with experience in sales support.
Proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook).
Familiarity with CRM software and sales order processing systems.
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Attention to detail and a high level of accuracy.
Ability to work independently and as part of a team.
Fluency in English would be an asset, but not required
