Position: Bookkeeper & Admin Location: Kubu & Kusamba, Denpasar, Bali, Indonesia
Job Overview:
We are looking for a highly organized and detail-oriented Bookkeeper & Administrative Assistant to manage the financial records and administrative tasks at our resort, Pebble & Fins. The ideal candidate should have strong bookkeeping experience, familiarity with Xero accounting software, and be able to manage various administrative responsibilities. This role requires excellent organizational abilities, accuracy, and confidentiality, and will report directly to ADA Group’s management team.
Key Responsibilities:
Bookkeeping and Financial Management: Maintain accurate and up-to-date financial records, including accounts payable, accounts receivable, payroll, and bank reconciliations. Ensure timely and accurate data entry into Xero.
Invoicing and Billing: Generate and send invoices to clients and follow up on outstanding payments. Manage supplier invoices and ensure payments are processed promptly.
Financial Reporting: Prepare monthly financial reports, including profit and loss statements, balance sheets, and cash flow forecasts. Provide regular financial updates to senior management.
Xero Expertise: Use Xero accounting software to manage all financial transactions, ensuring all records are accurate, reconciled, and compliant with accounting standards.
Administrative Support: Provide general administrative support, including answering phones, responding to emails, and assisting in scheduling meetings and appointments for management.
Document Management: Organize and maintain digital and physical filing systems for financial and administrative documents. Ensure all records are up-to-date and compliant with local regulations.
Procurement and Vendor Relations: Coordinate with vendors for supply orders, maintain relationships with suppliers, and ensure timely delivery of goods and services.
Payroll Processing: Manage and process staff payroll, ensuring accuracy in wages, deductions, and compliance with local labor laws.
Compliance and Tax Filing: Assist in preparing and filing tax documents, ensuring compliance with local tax regulations and deadlines.
Support to Management: Provide support to senior management, including preparing reports, managing calendars, and assisting with various operational tasks as required.
Qualitifications:
Experience: Minimum of 3 years of experience in bookkeeping and administrative work. Experience in the hospitality or resort industry is a plus.
Skills: Strong knowledge of Xero accounting software is required. Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and other office management software.
Attention to Detail: Excellent organizational and time management skills with a strong attention to detail and accuracy.
Language: Fluency in English is required. Proficiency in other languages, particularly Indonesian, is highly preferred.
Attributes: Reliable, trustworthy, and able to handle confidential information with discretion. Strong communication and problem-solving skills.
