Job Mission: As Executive Assistant to the management team, you are an integral part in establishing the growth of our organisation. Managing and organising internal and external stakeholders, supporting the management team to execute the governance model, and to manage several administrative topics related to the management team. The wide field of tasks offers a high-level of integration into the business processes and communication with the leadership team.
Tasks
- Planning and organising the agenda’s of the management team and ensuring timely communication and feedback to stakeholders.
- Supporting the preparation of communication and presentations for internal and external stakeholders
- Support the reporting on operations for topics like HR, finance, insurances, shareholders, and more.
- Supporting the office manager on operations and HR on the onboarding of new people.
- Organisation of internal and external events, ensuring seamless coordination among all stakeholders and the successful execution of events.
Requirements
- High-level communication skills in an international and multicultural environment and on an executive level. Adapting the communication for different situation to be effective. Used to manage and control stressful situations. Fluently in German and English, French is beneficial.
- Effective management competence to ensure setting right priorities and following up on tasks to ensure tasks closure. Understanding urgent actions impacting daily planning and adapting in an agile and pragmatic way.
- Interpersonal skills like problem-solving, emotional intelligence and team work to overcome draw backs and moving solutions forward.
- Organisational talent, capable of managing various tasks in an efficient manner to ensure not losing track of critical details.
- Advanced computer skills for typical office applications. Competence to create simple templates and tables to manage tasks and prepare references.
Your Profile:
- Education degree in relevant fields (e.g. BA/MA business, language, administration, economics,) or relevant other education
- \ > 10 years professional experience in relevant roles for such position
- Experience in agile project environments and dealing with external partners, stakeholders and supply chain.
- Capability to think strategically but also pragmatic and hands-on in supporting a growing company.
- Communication skills, oral and written
- Ability to prioritise, manage and execute multiple simultaneous tasks
- Assertive, pro-active, innovative and creative
