The Assistant to the Human Resources (HR) Department ensures the effective and efficient functioning of the HR Department at MSF-Germany by providing administrative support to the Head of HR and the wider department management team.
In your role you will
- Organize and co-ordinate HR MT & departmental meetings, departmental trainings/ events and intersectional meetings including minute-taking and follow-ups
- Support planning and reporting processes, key deadlines & deliverables, and coherent data entries and documentation within the department
- Ensure proper preparation and actualisation of important department documents, presentations and internal communication and support HR information management and administration of Share Point pages
- Prepare on-boardings and integration of new departmental staff members
- Support procurement in HR following our internal guidelines incl. proper filing of relevant documents
- Handle administrative tasks such as assuring replacements in MT meetings and Office Briefing, correspondence, appointment coordination & travel bookings
- Support departmental initiatives and units as required and possible
- Replace other department assistants with similar administrative duties
You Have
- Completed administrational training or Bachelors university degree
- First work experience in a similar position (office organisation and administration)
- Previous experience in Human Resources is preferable
- A structured and organized approach including the ability to handle different topics in parallel
- Ability to handle complex planning and reporting processes with attention to detail
- Excellent communication skills, orally and in writing in German and English (C1) and proficiency in MS Office (and internet-based software and technology)
- Ability to apply and combine up to date knowledge for office management tools
- Service orientated person with a high level of discretion and a good team player

- Payment according to a transparent internal salary structure; in this position according to group 2 with full-time employment (40h/week) from 3,309 Euro to a maximum of 4,187 Euro, depending on the relevant professional experience
