Vendor Management Specialist (21-month term)

Overview of the Position:


Reporting to the Team Leader of Vendor Management, the Vendor Management Specialist is responsible to develop, coordinate, implement, and maintain vendor data and processes required to optimize and evaluate Vendor performance. This position will analyse overall vendor performance, including assessing compliance in relation to our vendor agreement.
This position is the business owner of internal and external Electronic Data Interchange (EDI) support and consultation. In addition, this position provides quality management support for Princess Auto’s Supply Chain while working in collaboration with Vendors, Merchandising, Distribution Centres (DC), Demand Planning and Replenishment (DPR) and Finance to resolve shipment issues, purchase order discrepancies and various Vendor issues.
This position is an on-site role, based in our beautiful Home Office, which is located at 475 Panet Road, in Winnipeg.

Key accountabilities include:
  • Creates and maintains Vendor file; including EDI requirements
  • Ensures the submission and filing of certificate of liability insurance; ensures vendor agreement is signed by Vendor
  • Communicates new Vendor details to cross-functional teams accordingly
  • Acts as main point of contact for a diverse and global Vendor base
  • Schedules category Vendor meetings and provides organizational support
  • Manages Vendor contributions and participates in several Company events, including Vendor Expos
  • Contributes to the development and ongoing maintenance of Vendor profiles and scorecards; ensures compliance with Company operational requirements
  • Contributes to the development of a Vendor Management Program/Framework
  • Evaluates Vendor onboarding and agreement renewal processes to develop and implement standardization and best practices
  • Makes recommendations and executes requirements on cross-functional projects pertaining to Vendor Management
  • Provides consultative services to business departments on Purchasing Orders (PO) and EDI compliance programs and escalates issues to identify steps to mitigate compliance risks
  • Analyzes PO Compliance and recommends process enhancements and controls that are proportionate to the level of risk
  • Focuses on subject matter expertise in a variety of facets of PO compliance and EDI
  • Performs gap analysis of obligations and partners with the business to implement controls to mitigate risks and to meet internal and external audit expectations
  • Creates toolkits and training to address gaps and mature processes within the business to meet evolving PO and EDI compliance obligations
  • Oversees identification, reporting and closure of PO and EDI compliance issues identified from internal risk assessments, analysis or insights from industry best practices
  • Communicates key updates about the PO and EDI compliance programs to key stakeholders
To be successful in this role, you will need:
  • Post-Secondary education in a related field (e.g. Administration, Supply Chain) an asset
  • 2 - 3 years’ related vendor management, supply chain, merchandising or category management experience
  • Knowledge of the retail industry an asset
  • Excellent written and verbal communication skills
  • Strong analytical, problem solving, and facilitation skills
  • Highly organized with the ability to manage changing priorities
  • Strong negotiation and influence skills to build relationships with business partners
  • Self-directed with solid decision making abilities
  • Diplomatic and able to influence desired outcomes
  • Experience in developing new processes
  • Knowledge of EDI and Supply Chain systems, processes, data, Key Performance Indicators (KPIs) would be an asset
  • Proficient in Microsoft Office including Word, Excel and Power Point
  • Occasional travel may be required
