Training & Cost Coordinator

The Training & Cost Coordinator primarily supports the costing department while also assisting with training-related administrative tasks. In the costing department, the role includes creating and maintaining spreadsheets, entering data such as time sheets, equipment costs, and fuel expenses, verifying invoices and tickets for proper coding, creating cost codes, and supporting transaction processing related to job costing. In the training department, the role assists the Training Coordinator with tasks such as booking training courses, uploading certificates to the company LMS, creating training matrices, and general administrative responsibilities.



Core Responsibilities:


Costing Support:
  • Create and maintain spreadsheets for job costing.
  • Enter data for equipment costs and fuel expenses.
  • Verify that invoices and tickets are coded to the proper job and cost code.
  • Create cost codes for various job functions.
  • Ensure timely processing of tickets and invoices in accordance with internal requirements.
  • Collaborate with field crews to ensure accurate and timely costing reports.
  • Support transaction processing related to job costing, time entry, billing, and third-party invoice processing.
  • Assess and report on both active and closed projects.


Training Support:
  • Book training courses and track staff training hours.
  • Upload certificates and training records to the company LMS.
  • Maintain accurate records of training activities and employee progress.
  • Perform general administrative responsibilities, such as saving forms and certificates to employee profiles.


Technical Skills:


  • Proficiency in Microsoft Office Suite (Word, Excel).
  • Basic understanding of project job costing, time entry, and billing processes.
  • Knowledge of job costing and learning management tools is an asset.
  • LMS Management.

Qualifications:

  • Administrative experience.
  • Experience with large data sets and complex workbooks.
  • Ability to interact with multiple stakeholders.
  • Experience in construction or related fields is an asset.
