JOB TITLE: Retail Accounts Administrator ABOUT NORTH SUN ENERGY North Sun Energy is a co-ownership business between North Atlantic and Petro-Canada in Newfoundland and Labrador, Nova Scotia, and PEI. With a combined 110 gas stations and convenience stores across the three provinces (some under the Petro-Canada brand and some under the North Atlantic brand), this collaboration enhances Petro-Canada’s national coast-to-coast network and extends North Atlantic’s presence into Nova Scotia and PEI. North Sun Energy is focused on optimizing long term value and growth through strategic development initiatives, expansion efforts, and enhanced customer experiences. This includes new sites currently under construction and the debut of Orangestore into Nova Scotia, slated for select Petro-Canada stations in 2024. Position Overview Reporting to the Assistant Controller, the Retail Accounts Administrator will be responsible for the daily processing and reconciliation of North Atlantic’s retail accounts including invoicing retail franchisees and dealers, allocation of payments to accounts, daily settlement of accounts via bank transfer, month end report preparation, and data entry of information into Microsoft NAV. The Retail Accounts Administrator calculates monthly royalties and commissions, prepares monthly chargebacks, updates pricing for regulated pricing adjustments, and reconciles dealers accounts for discrepancies. Duties and Responsibilities:
Daily invoicing of fuel for dealer accounts and bi-weekly invoicing for consignment sites
Calculation of cross-lease and royalty invoices in accordance with retail contracts
Data entry of information into Microsoft NAV
Posting of receipts for retailers, including Global Payment and Island Pass card payments
Calculate and prepare EFT transfers requests daily
Adjust and communicate retail pricing when price regulators send notifications
Collect dip books from consignment sites at the end of each month
Prepare monthly reports, including rolling 12-month volumes by location
Provide administrative requests as received from Assistant Controller and Accountants
Assist the Senior Accountant and the Assistant Controller with various account analysis and other at hoc requests
Collect information required for new retailers and set up the accounts in Microsoft NAV
Distribute statements to retailers
Resolve problems or discrepancies with retailers and respond to enquiries from them regarding account status
Process daily Orange Store transactions for corporate owned Orange Stores
Convenience store item transactions and convenience store inventory adjustments
Other duties as required
Qualifications:
Bachelor’s degree or diploma in accounting, finance, or business administration
Two to three years of related experience
Possess a high level of ethics and confidentiality to handle monetary transactions
Intermediate level knowledge of accounting systems, budgets, and internal controls
Proficient data entry skills, with a key focus on high attention to detail and accuracy is crucial
Ability to multi-task in a fast paced, deadline driven, team focused environment is essential
Keen to accurately calculate, post, correct, and manage accounting figures and financial records
Effective oral, verbal, and written communication skills
Strong organizational and analytical skills
Ability to set priorities and meet deadlines in a fast-paced environment
