Reception/Concierge

Join the Captivating Team as the Reception/Concierge at Captivating Aesthetics; you will play a vital role in ensuring that every client's visit is exceptional and memorable. Your enthusiastic and customer-centric approach will create an atmosphere of safety, relaxation, warmth, and vibrance. You will work closely with the Captivating team to provide outstanding service, build lasting relationships with clients, and support the overall operations concerning Reception/Concierge. A Day in the life: ● Greet clients with a warm and welcoming attitude, making them feel valued when they enter the clinic, as if they are the only client in the clinic. ● Tracking and reporting on the customer experience at the various touch points throughout their client journey. ● Collaboration with the team to continue to develop, enhance and close gaps that may exist in the current client experience. ● Professionally address client inquiries, provide information about services/products, and guide them through any concerns they may have. ●Identify client needs and take proactive steps to maintain and enhance the ‘Captivating Experience.’ ● Listen attentively to clients’ preferences, concerns and needs. Document them in the CRM software after each client visit to better connect with the client on their next visit and throughout the year. ● Get back to clients regarding general inquiries. ● Coordinate alongside the front reception to ensure smooth appointment transitions and timely services. ● Compile and analyze customer feedback into a weekly report, suggest solutions to any critical feedback and how it was addressed in real-time. ● Quarterly or monthly reports on the life-cycle of the client. ● Implement client gratitude, kindness and appreciation process. Product Knowledge & Sales: ● Develop a deep understanding of the clinics’ product offerings, including skincare products, wellness items, and other treatments. Administrative Support: ● Assist with administrative tasks such as managing client records, occasionally answering phones, filing and other office duties as needed when you are not addressing ‘Client experience’ needs. ● Collaborate with the front desk team to ensure seamless operations, including handling phone inquiries and providing support as needed. ● Reach out to clients after their visits to gather feedback on their experience and ensure their satisfaction.
