Summary The Fleet Services Coordinator assists the Fleet Deartmet by performing various administrative tasks related to the fleet department. The position requires someone that is detail oriented, has strong organizational and effective time management skills. The ability to manage multiple tasks simultaneously and meet deadlines is a must. Excellent communication skills and a professional demeanor are essential. Responsibilities
Assist Fleet department as needed.
Prepare various documents and reports as needed.
Preparing final paperwork for sales of warranty, maintenance, and protection packages to meet fleet client needs.
Answer phone and direct calls appropriately and first point of contact for customers as they come into the department.
Ensure Deal paperwork is processed properly and expensed correctly.
Business manager for commercial lease credit apps and associated final documents for clients from small businesses to major national accounts.
Preparing initial credit applications, getting approvals, producing final documents, reporting, and claiming and finalizing deals
Sending commissions for payroll.
Ensure compliance of company’s policies and procedures.
Conduct regular inspections of vehicles to identify any issues or potential maintenance needs.
Assist in the control of incoming sold vehicles from factory orders retail, drop ships, tendered vehicles and in stock sold vehicles.
Provide support in purchasing dealer trades, cheque requests, cutting PO’s, organizing drivers and vehicles for delivery destinations.
Track fuel usage and milage for each vehicle to optimize fuel efficiency and reduce costs.
Provide assistance for drivers and field staff as required.
Maintain information for internal use on vehicle status, and final payment.
Prepare reports and presentation on fleet performance and operational metrics for management review.
Perform other duties as assigned within the department.
Education and Experience Requirements
Administrative Diploma from a recognized college an asset.
Minimum of 1-year experience performing administrative tasks in an office environment.
Must be well versed and proficient in Microsoft Office (Outlook, Excel, Word etc.) Candidates will be tested.
Experience working with vehicle registrations, at an automotive dealership or in the car rental industry preferred.
Must possess valid NB driver’s license and provide drivers abstract.

8-hour shift
Monday to Friday. MUST HAVE availability to work some Saturdays .
